Our client, a luxury Real Estate company with prestigious offices in the West End, is seeking a board-level PA to provide comprehensive PA and administrative support to the CFO and Director of Investor Relations. This role requires a high degree of flexibility, proactivity, and the ability to manage a complex diary, reacting quickly to changing priorities. We are looking for candidates who are highly organized, confident operating at the board level, and capable of building strong relationships across the business. Ideally, candidates will have supported a CFO or FD previously.

Responsibilities:
  1. Complex diary management:
  • Short-term and long-term diary planning; facilitating follow-ups and preparation where required
  • Managing internal and external meetings according to the CFO's priorities, including investor/analyst meetings coordinated with Exco availability and bank meetings with the Group Treasurer
  • Booking breakfasts, lunches, dinners, and other events
  • Guest arrival coordination, notifying reception, and providing refreshments for meetings when required
  1. Collation of finance papers for Board reports:
  • Awareness of Board and relevant committee agendas and submission deadlines
Additional responsibilities:
  • Maintaining a schedule of upcoming Investor Relations events, including the financial calendar:
  • IR logistics: arranging venue, webcasting, and printing requirements
  • Booking rehearsals in line with Exco and external advisor availability and preparing relevant materials
  • Preparing reference files, including financial packs and scrip
  • Conference logistics:
  • Registering for conferences
  • Arranging travel and accommodation, with guidance from the EA to the CEO
  • Recording and tracking investor roadshows and conferences
