Office Manager and Personal Assistant

Exciting opportunity to run the office for a prestigious estate in Bridge of Allan.

Salary: £32,000 - £36,000, plus holidays and benefits.

This is an office and site-based role where you will be the sole person in the office, with others visiting or passing through. You must be a driver with your own vehicle.

We are seeking a committed, organized, responsible, and autonomous individual to take over from the current longstanding Office Manager who is retiring. There will be a handover period to learn all necessary duties. Bookkeeping knowledge would be advantageous, but we value longevity and commitment, as this is a long-term role.

The Role - Day-to-Day Responsibilities
  • Monitoring telephone messages and email inboxes, and taking appropriate actions.
  • Performing bookkeeping tasks including invoicing, supplier payments, coding and entry to Sage, bank reconciliations, staff wages, expenses, VAT returns, and updating cash flow.
  • Maintaining office and premises upkeep, troubleshooting issues such as recycling, electricity, Wi-Fi, and insurance.
  • Assisting external accountants with P11Ds, annual accounts, confirmation statements, corporation tax, and ATED.
  • Updating business records, leases, and contracts.
  • Booking flights, accommodation, vehicles, etc., as required.
  • Handling paperwork and filing.
  • Traveling as needed to the director’s residence (within 1 hour’s drive, mileage paid).
Qualifications and Skills Needed
  • Experience in a varied PA, administrative, or finance admin role.
  • Strong bookkeeping skills are especially desirable.
  • Ability to work independently and autonomously as the sole office person, with others utilizing the site.
  • Committed, organized, responsible, and autonomous.
  • Flexible with duties and working hours as required.
  • Stable, with a long-term role mentality.
  • Strong IT skills.
  • Driver with your own car.
