Job SummaryThis i18.75 hour post is an exciting opportunity to join the Orthotic Services Department which is a unique small established team of 9 Trust employed staff plus 4 Orthotists providing a service to the people of County Durham. The service is led by the Orthotics Manager and is part of Community Services. We are looking to recruit a part-time Administration Assistant to join our happy team.
The role is to provide administration support to the busy team and involves patient contact although initially you will be transferring data from The Orthotic computer system to Systmone. You will be based at Sedgefield Community Hospital but will be expected to work on any Trust site if required which could be at short notice.
You will be expected to hold the relevant experience as specified in the person specification and be able to work alongside the team to provide a positive outcome for our patients. In return, we offer you the chance to become part of our warm and caring team.
Main duties of the jobThis role includes:
- Dealing with daily deliveries.
- Placing Orders on Hospital Ordering System - Cardea.
- Opening referrals and registering on Systmone.
- Preparing clinics.
- Data inputting from Orthotics computer system to Systmone.
- Answering the telephone and dealing with queries arising.
- Working at any other Trust site when required which could be at short notice.

Job DescriptionJob responsibilities- To provide an efficient customer service, welcoming visitors to the department and dealing with a diverse range of enquiries from patients, other health professionals, external agencies, and members of the general public, in person or by telephone in a pleasant and helpful manner.
- To plan, organise and evaluate own administration workload taking into account the priority needs of the service.
- To plan and carry out work with colleagues as necessary.
- Management of patient appointments via telephone or face-to-face contacts or by letter.
- Prepare Clinics.
- Accepting deliveries and dealing with accordingly.
- Data transfer from Orthotics Computer System to Systmone.
- Be able to cope with frequent interruptions and change at very short notice to planned workload or place of work.
- To work within a team environment, attend and contribute to team meetings, and effectively use a variety of verbal communication skills to manage sensitive and difficult situations.
- Ability to change hospital location at short notice in event of sickness and holidays.
Person SpecificationQualifications Essential- Educated to GCSE standard or equivalent.
Experience Essential- Evidence of ability to work in a team.
- Experience working in an administrative role.
- Evidence of working within a Healthcare environment or similar.
Special Skills and Knowledge Essential- Evidence of good listening skills.
- Good communication skills (verbal and written).
- Basic IT skills.
- Ability to work across site.
Special Requirements Essential- Ability to work under pressure.
