  • Own end-to-end Order Flow and payout execution to ensure timely vehicle activation.
  • Review documentation, validate contracts, and resolve issues to meet KPIs.
  • Respond to retailer and broker queries via designated mailboxes.
  • Chase delivery documents daily to support activation and payout timelines.
  • Investigate and coordinate resolution of ATCMS errors with relevant teams.
  • Generate and archive daily reports for audit and tracking.

Job description

The Order & Delivery Operations Executive is responsible for owning the end-to-end order flow and delivery process, ensuring timely vehicle activation, accurate documentation, and efficient payout execution. This role requires proactive decision-making within defined parameters, resolving issues that could impact delivery timelines or customer satisfaction. The Executive will evaluate implications of delays or errors, take corrective actions, and escape where necessary, contributing to continuous improvement in delivery performance. This role supports both First Stage (1SP) and Second Stage (2SP) payout activities, resolves system errors, and liaises with internal and external stakeholders to reduce lead times and improve delivery performance.

Location: 2 days in the office as a minimum (Coventry)

PRINCIPAL ACCOUNTABILITIES
  • Order Flow & Payout Execution
  • Take ownership of daily First Stage (1SP) and Second Stage (2SP) payout activities, ensuring accuracy and compliance.
  • Assess documentation issues and decide on corrective actions to enable contract activation within KPIs.
  • Own the daily 2SPQ reporting and liaise with retailer and brokers to receive documentation in the aim to reduce lead time and improve delivery performance.
  • Actively manage orders through to the point of vehicle delivery, anticipating potential delays and implementing solutions.
  • Review documentation and activate contracts upon successful validation.
  • Respond to retailer and broker queries via the Supply Chain mailbox.
  • Handle Corporate customer queries via the Corporate mailbox.
  • Prioritise and manage competing requests, making decisions on escalation when required.
  • Chase delivery documents daily to support timely vehicle activation and payout.
  • System & Error Resolution
  • Investigate ATCMS errors, determine root causes, and coordinate resolution with relevant departments.
  • Maintain and update ATCMS error logs and 2SP error logs.
  • Reporting & Audit

Generate and archive reports for audit and tracking, including:

  • Daily Dashboard
  • Daily Payout Team Results

Identify trends in errors or delays and recommend process improvements to the manager.

PERFORMANCE MEASURES
  • Ensure daily payout activities are completed accurately and on time.
  • Maintain SLA compliance for mailbox responses and document chasing.
  • Demonstrate proactive problem-solving and decision-making to reduce lead times.
  • Ensure reporting accuracy and audit readiness.

There will be a need to take on additional responsibilities and have awareness of the team tasks to support in case of absence.

It can be a pressurised busy department and the job holder need to be agile and adaptable, supporting their colleagues depending on overall priorities.

KNOWLEDGE, EXPERIENCE AND QUALIFICATIONS

Educated to A-level standard or equivalent is essential.

Required experience

Minimum 2 years’ experience working in operational role.
