Job description

To provide comprehensive typing and administrative services to team members to support the achievement of departmental objectives. The post holder will collaborate closely with the team to ensure the delivery of high-quality service, utilizing strong typing, administrative, communication, and interpersonal skills.

The Post Holder Is Required To
  1. Communicate tactfully and politely with patients, carers, and staff in verbal and written exchanges.
  2. Communicate with external Trusts and other departments within the Trust.
  3. Handle telephone and face-to-face enquiries efficiently and empathetically, taking appropriate action.
  4. Plan and organise own workload effectively.
  5. Adjust clinic schedules as necessary.
  6. Ensure notes are prepared for clinics and arrange secure transfer between hospital sites when needed.
  7. Take minutes at meetings as requested and organise meetings such as audit meetings, service meetings, and training days.
  8. Type correspondence from dictation, audio, or other sources, and take necessary actions within established procedures.
  9. Provide information and advice to patients and carers regarding admissions and appointments.
  10. Follow all relevant Trust policies and adhere to departmental guidelines and standard operating procedures.
  11. Comment on local policies and procedures related to secretarial or clerical issues.
  12. Maintain stationery supplies and demonstrate secretarial duties to new staff members.
  13. Maintain and develop patient information, clerical, secretarial, and record-keeping systems, both paper-based and electronic, in line with Trust standards, liaising with other departments as needed.
  14. Participate in surveys, gather information, and assist with audits by collecting data.
