Job Description:

The Ely Diocesan Board of Finance (EDBF) is seeking an individual to act as Operations Support Team Administrator – Vocations, Discernment, Selection and IME2 (Mission and Ministry) to provide administrative support to the Ordained Ministry Pathway Team.

The role – General tasks

  • Providing administrative support to the Ordained Ministry Pathway Team, under the line management of the Deputy Director of Mission and Ministry.
  • Processing paperwork and arranging meetings for candidates exploring their vocation, ensuring efficient running of the discernment process.
  • Ensuring smooth transitions for candidates within the process.
  • Arranging and attending meetings; taking minutes as required.
  • Supporting the team to run smoothly and efficiently.
  • Handling incoming and outgoing correspondence.
  • Supporting annual ordinations, including the Ordination service and pre-ordination retreat.
  • Performing other duties as reasonably required.

Specific tasks

  • Managing the diaries of the Diocesan Director of Ordinands (DDO) and Curate Training Officer.
  • Collating and submitting papers for candidates.
  • Providing timely information for meetings with vocations candidates, liaising with candidates and Assistant DDOs.
  • Supporting the organisation of the Ordination service, including ticketing, photography, parking, and access arrangements, liaising with relevant parties.
  • Supporting the organisation of the pre-ordination retreat, liaising with the retreat centre and leader.
  • Organising meetings, preparing agendas, circulating papers, and taking minutes.
  • Booking and organising external events as needed.
  • Coordinating with the Finance Department for diocesan grants administration.

Terms and Conditions

  • Full-time hours (35 hours/week), typically 9am-5pm, Monday-Friday, with some evening and weekend work as needed, with time off in lieu.
  • Flexible location, with time in Ely Diocesan Offices to be agreed.
  • Contract: Full-time, subject to a 3-month probation period.
  • Employer: Ely Diocesan Board of Finance.
  • Pension: Membership of The Church Workers Pension Fund (non-contributory).
