Job description

Working hours: Full-time (35 hours a week), FTC 12 months (with possibility of
extension)

We are seeking a highly organised, proactive, and process-oriented Operations
Manager to oversee the smooth running of HHUGS’ operational functions. The role
involves implementing and maintaining organisational systems across all departments,
ensuring alignment with strategic goals.

This role focuses on streamlining processes, fostering collaboration, and driving
organisational efficiency while enabling department leads to focus on achieving their
specific objectives.

Key Responsibilities

  1. Leadership and Management
    • Oversee the implementation of organisational systems and processes across all
    departments to ensure operational consistency and efficiency.
    • Support department heads in aligning processes with organisational goals,
    ensuring smooth inter-departmental workflows.
    • Act as a central point of contact for resolving cross-departmental operational
    issues.
  2. Strategic Planning and Implementation
    • Work closely with the CEO to translate strategic goals into actionable
    operational plans.
    • Collaborate with department leads to design and implement operational
    strategies that support their objectives.
    • Identify areas for improvement and develop solutions to enhance organisational
    efficiency and effectiveness.
  3. Operational Oversight
    • Develop and refine internal systems and processes to streamline workflows,
    enhance productivity, and maintain accountability.
    • Monitor and evaluate departmental compliance with organisational policies and
    procedures, including GDPR and safeguarding.
    • Oversee office management and ensure a well-functioning workspace, including
    IT systems and procurement.
    • Collaborate with the Finance Manager to monitor departmental budgets,
    ensuring efficient resource allocation.
    • Ensure financial accountability and transparency in operational projects.
    • Provide input on financial processes to ensure they align with organisational
    priorities.
  4. People Management
    • Conduct regular performance reviews with department leads to identify areas
    for improvement and development.
    • Support recruitment processes and ensure appropriate staffing levels across
    departments.
    • Foster a culture of collaboration, accountability, and continuous improvement.
  5. Monitoring, Reporting, and Compliance
    • Ensure operational processes are monitored and evaluated against KPIs,
    providing regular updates to the CEO.
    • Develop and maintain organisational policies that ensure compliance with
    charity regulations and best practices.
    • Support departments in implementing reporting and operational tools.

    • Degree or equivalent experience in management, operations, or a related field
    (desirable).
  2. Knowledge, Skills, and Experience
    • Proven experience in managing multiple departments or teams (essential).
    • Strong understanding of operational processes and systems, preferably in the
    charity or non-profit sector (desirable).
    • Experience in implementing organisational systems or frameworks (essential).
    • Excellent organisational and problem-solving skills (essential).
    • Strong communication and interpersonal skills, with the ability to work across
    teams (essential).
    • Familiarity with CRM systems or data management tools (desirable).

Terms & Conditions

The post holder must be available for the core hours of 9am-5pm weekdays from our
office. Occasional work on evenings and weekends may be required. Salary is
dependent on experience, with a holiday allowance of 28 days per annum, including
public holidays.

The post holder must be legally entitled to work in the UK, with no
contra-indications in personal background or criminal record indicating unsuitability to
work with children, youth, ex-offenders, or vulnerable clients.

The post holder will undertake any other duties of a similar nature, which are
commensurate with the grade and seniority of the post.
