Operations Manager

The Pendle Medical Partnership are looking for an enthusiastic, and forward-thinking experienced Part Time Operations Manager to join their existing Management Team to ramp up our organisational support and deliver a Modern GP Practice Model. This Post is for 30 hours per week over 4 days.

This post is a shared role with another Ops Manager who make up a team of four (4) members of the senior management team (SMT). We are looking for a very high level of expectation and so the candidate must be confident at making a real impact.

Main duties of the job

This is an exciting new role which will play a fundamental part in the smooth running of the Practice and will provide the post holder with the opportunity to demonstrate and apply their leadership and management skills towards the next level, within a supportive and proactive Management Team approach. Working around constant change the postholder must be resilient and tenacious and be able to work under pressure.

Our management team support over 55 clinical and non-clinical staff and consists of a remote Practice Business Manager, Practice manager and 2 x Operational Managers which the post holder will be one of. This shared leadership builds heavily on great teamwork, communication and peer support to ensure the very best of people's skills and experience combined. It's a great role to move into and develop and the right candidate can make a huge impact.

This part-time role requires working flexibly across two sites at Earby & Colne, and may include occasional work patterns between 08.00 & 18.30hrs. We expect the working week to be over four days - Mon, Wed, Thu & Fri, - with TUESDAY being your normal day off in this pattern.

We work from two sites - The Surgery at Earby, and Floor 2 within Colne Health Centre. As one of the largest practices in East Lancashire, we can offer an extensive range of services, enabling our patients to be cared for in the community, often avoiding the need for long waits for hospital services.

With 10 GPs, a team of 7 experienced practice nurses/ Nurse Associates, 3 Physician's Associate, our own pharmacist, healthcare assistants, ARRS PCN staffing and a very experienced team of Care Navigators. All with excellent knowledge of services in this area, we believe that we are well equipped to support our 15,000+ patients' health and care needs.

Job responsibilities

This is an exciting new role which will play a fundamental part in the smooth running of the Practice and will provide the post holder with the opportunity to demonstrate their supervisory management skills within a supportive and proactive Senior Management Team (SMT) consisting of a Remote Practice Business Manager, Practice Manager and a similar Operations manager that makes up an SMT of four.

The role is advertised as part-time 30 hours over 4 days. Mon, Wed, Thu and Fri. with Tuesday being a day off.

Main Duties of the job

KEY MAIN Duties focus heavily on:

1. Manage and maintain a robust EMIS Clinical Appointments system.
2. Manage and maintain a robust Digitalised telephone management system X-on GP Connect.
3. Supervise areas of GP Teamnet.
4. Co-Line manage care navigation team.
5. Supervise student and trainee GPs and FY2 ST3 etc.
6. Clinical Rota and room planning and allocation.

Other core Duties:

1. Deputise for and support the practice manager.
2. Jointly oversee accuracy and robustness of reception and administration rotas, including annual leave and absence.
3. Provide initial guidance and advice on patients' complaints.
4. Quality control of the coding and summarising process.
5. Assist or lead regular team meetings. Prepare agendas, take minutes as appropriate.
6. Provide administrative support for trainee GPs and medical students.
7. Provide administrative support for monthly MDT palliative care meetings.
8. Assist with staff training and induction plans as necessary.
9. Manage the practice website and social media account.
10. Premises and security management shared responsibility.
11. Template and population management updates, amendments importing.
12. Provide emergency cover for reception if required.

• Supervisory experience in an NHS GP practice or a similar Primary Care setting.
• Knowledge of EMIS Appointments system (Highly Desirable).

• Able to use initiative and judgement.
• A calm and fair approach to solution-based problem solving.

Qualifications

• Whilst we are not looking for straight A grades, we are expecting the candidate to demonstrate a high standard of previous education and study, with excellent literacy and numeracy skills.
• Evidence of previous supervisory, or management qualification at a mid-level such as HNC / NVQ 3, OU or post-graduate standard.
• A Health & Safety qualification is desirable.
• Previous NHS Mandatory training on systems such as EMIS, System One, or other software.
• Demonstrable evidence of personal professional development.
