Job Description

As our Operations Manager, you’ll be the heartbeat of our day-to-day operations, ensuring that everything from people processes to IT and office logistics runs like clockwork. You’ll help us stay scalable, human,

and ready for growth.

This is a hands-on and high-impact role that will suit someone who loves variety, thrives on solving problems, and cares deeply about building great internal experiences.

What you’ll be doing

This is a broad, people-focused operations role where no two days are the same. Across the following areas, you will:

People & Culture Operations

  • Be our internal go-to for all things People Ops — from onboarding to offboarding and everything in between.
  • Keep HR documents and policies up to date, compliant, and easy to navigate.
  • Coordinate check-ins, performance cycles, and internal comms.
  • Support smooth hiring journeys — from scheduling to onboarding setup.
  • Work alongside our external HR advisor to implement people-first initiatives.

Office & Facilities

  • Keep our Edinburgh HQ humming — safe, welcoming, well-stocked, and productive.
  • Manage relationships with landlords, suppliers, and service providers.
  • Help plan and deliver any future office moves or workspace redesigns.

IT & Tools

  • Oversee our IT equipment lifecycle (procurement, setup, inventory, returns).
  • Liaise with external tech support to troubleshoot and streamline.
  • Manage system access, software licensing, and documentation.

Ops Projects & Improvements

  • Own and track internal projects that make us more efficient and scalable.
  • Help run team meetings, company updates, and social events.
  • Support internal budgeting and operational planning alongside leadership.

Qualifications

What you bring

We’re looking for someone with a mix of practical experience and emotional intelligence — someone who’s as comfortable with spreadsheets as they are with people.

  • A strong track record in operations, office management, or people coordination
  • Super organised with great attention to detail (and follow-through!)
  • Able to juggle priorities and move from high-level planning to hands-on doing
  • Tech-savvy and comfortable learning new tools — we use platforms like Google Workspace, Slack, and Notion daily, and as an AI-led business, we value people who are curious and confident exploring and engaging with AI tools to boost efficiency and creativity.
  • Friendly, approachable, and a natural communicator
  • Discreet and trustworthy — you’ll be handling sensitive people data
  • Experience in a startup or scale-up environment is a big plus
