Job summary

Ripple+ is seeking a detail-oriented Operations Executive to manage inventory, orders, and retail fulfilment across US/UK/EU. You will work with 3PL partners, Fulfil ERP, and Shopify-to-WMS integrations to ensure clean data and on-time delivery. Strong Excel/Google Sheets and ERP experience are essential.

Responsibilities include stock visibility, backorder management, and retailer order processing, with collaboration across Supply Chain, Production, Procurement, and Finance to scale operations.

Qualifications

• 3+ years in e-commerce/retail operations, order management or 3PL coordination
• Excellent Excel/Google Sheets skills (XLOOKUP, VLOOKUP, SUMIFS, FILTER, pivots)
• Hands-on with an ERP/OMS and 3PL/WMS portals
• Clear written and spoken English

Responsibilities

• Maintain daily visibility of stock across US/UK/EU warehouses in Fulfil and 3PL portals
• Reconcile Fulfil vs 3PL/WMS stock; investigate variances and drive resolution
• Flag OOS/low-stock risks early with proposed actions; manage backorders
• Monitor order queues and exceptions daily, ensure D2C and wholesale fulfilment is accurate and on time
• Process retail POs end to end and manage retailer portals
• Support customer service with order status, shipment tracking and replacements

Why the role exists

We operate across US/UK/EU with multiple 3PL partners, Fulfil ERP and Shopify-to-WMS

integrations, selling D2C and through major retailers.

We require a detail-oriented Operations Executive to keep inventory, order and retail fulfilment flows clean, to allow for scale with fewer errors and faster decisions.

Responsibilities

Inventory & Stock

• Maintain daily visibility of stock across all US/UK/EU warehouses in Fulfil and 3PL portals
• Reconcile Fulfil vs 3PL/WMS stock; investigate variances and drive resolution
• Flag OOS/low-stock risks early with proposed actions; manage backorders with pace

Orders & Customer Ops (D2C & Wholesale)

• Monitor order queues and exceptions daily, focused on preventing backorders
• Ensure D2C orders are fulfilled correctly and on time; resolve issues with 3PLs
• Keep Fulfil order data clean: correct warehouse allocation, SKU/GWP swaps, address and carrier errors
• Support customer service with order status, shipment tracking and replacement workflows

Retail & Wholesale Fulfilment

• Process retail POs end to end (e.g. Walmart, Walgreens, Urban Outfitters, Whole Foods, Boots): order confirmation, routing, booking and delivery notes, carton/pallet and SSCC labels
• Work in retailer portals (e.g. Walmart Retail Link, Bamboo Rose Tradestone) and follow each retailer's routing and labelling guides.
• Raise ASNs for inbound POs and confirm goods-in/booking at 3PLs
• Track inbound deliveries against ETAs; flag delays to the Supply Chain Coordinator with data
• Monitor 3PL SLA performance (dispatch time, OTD, backlog); elevate and drive fixes for repeat issues
• Comfortable picking up the phone to 3PLs and carriers to chase and unblock shipments

Data, Reporting & Systems

• Contribute to daily/weekly KPI updates (OTD, backorders, dispatch times, inbound status)
• Clean and merge CSV/report exports; maintain Google Sheets trackers
• Hygiene checks on Shopify -> Fulfil -> WMS syncs; raise and follow up support tickets

Process Improvement & Projects

• Document recurring processes as SOPs
• Support longer-time projects (new markets/3PL transitions, logistics cost reduction, automation of manual Fulfil tasks)
• 3+ years in e-commerce/retail operations, order management or 3PL coordination (to confirm)
• Excellent Excel/Google Sheets (XLOOKUP/VLOOKUP, SUMIFS, FILTER, pivots)
• Hands-on with an ERP/OMS and 3PL/WMS portals; accurate data entry
• Clear written and spoken English
• Strong organization, attention to detail, able to manage priorities under time pressure
• Proactive problem-solver who flags risks early; works independently and as part of an in-office team
• Customer-minded: on-time, right-first-time fulfilment across D2C and B2B
• Fulfil, Shopify, Mintsoft or similar
• Experience with US/UK retailer vendor compliance (routing guides, EDI, ASN/SSCC labels)
• Shipment documents for cross-border trade (CI, packing list, BOL)
