Job Description:

Knight Frank is looking to hire an Operations Coordinator to join our Edinburgh Office.

We are the world’s leading independent international property consultancy, headquartered in the UK, offering agency and professional advice across Commercial, Residential and Rural sectors. Established in 1896, Knight Frank now comprises a global network of over 20,000 people in 600+ Offices across 50 Territories.

Role:

This role is for a highly motivated, results-driven Operations Coordinator responsible for providing effective support, coordinating daily operations, processes, and efficiencies for the Edinburgh Office, while also providing Executive support to the Office Head and teams.

Responsibilities:
  • 1:1 Administration support to Edinburgh Office Head: managing schedules, diary and email management; organizing meetings, viewings, and conference calls, including preparing necessary papers.
  • Board Meetings and Strategy Away Days: coordinating meetings and preparing Board packs.
  • Presentations: managing internal and external presentations with creative and business development teams, drafting content, coordinating with printers and post room.
  • Document preparation: typing letters, memos, minutes, reports, mailshots, formatting, printing, and binding client reports.
  • Travel arrangements: organizing UK and international travel, preparing itineraries and travel packs.
  • Attending team meetings, taking minutes, and following up on actions.
  • Training: ensuring team training is up to date and promoting development opportunities.
  • Correspondence: preparing letters, memos, design documents, newsletters.
  • Email management: handling organizational emails, correspondence, and information requests.
  • Scheduling: maintaining team schedules, organizing meetings, booking rooms and calls, preparing papers.
  • Board/Management meetings: minuting and disseminating actions.
Key Experience Required:
  • 3+ years’ experience in a similar operations or administrative role
  • Proficient in Microsoft Office
  • Excellent English grammar and spelling
