Job description

Operations Coordinator

Reporting to the Head of Operations, the Operations Coordinator will provide efficient and professional administrative support to the VHL Operations team, ensuring exceptional service to our clients and patients at all times. The role involves working closely with the wider VHL team to create an inspiring, caring, trustworthy, and engaging work environment.

Key Responsibilities
  1. Respond to emails, orders, and phone requests from clinics and practitioners to manage logistical and operational needs across the UK.
  2. Use in-house and external software to book phlebotomy appointments, schedule national collections, and international deliveries.
  3. Utilize VHL's bespoke portal system to input client data, schedule bookings, and update the courier team.
  4. Package and prepare nutritional test kits for posting.
  5. Manage multiple projects with different priorities, working to short deadlines.
  6. Troubleshoot and solve problems efficiently, as clients work on fast-paced schedules.
  7. Maintain strong attention to detail to ensure projects run smoothly.
  8. Confidently use MS Office and other relevant software.
  9. Contribute to process improvements and personal development with a growth mindset.
  10. Draft clear, concise communications with adaptable tone and style.
  11. Be flexible and adaptable to changing client and team needs.

Additional Details

This is a full-time role (40 hours/week), rostered between 7:00 am and 11:00 pm, Monday to Sunday, on 8-hour shifts. The position is based at The Stables, New Lodge, Drift Road, Winkfield, Windsor, SL4 4RR, but may change based on business needs. Candidates must have a full driving license and access to a car, as the location is not accessible by public transport.
