Summary - Basic Function Of The Role

We are looking for an Operations Coordinator to join our team on-site in Aberdeen. This role plays a key part in keeping our operations running smoothly supporting day-to-day business activity, improving workflows, and acting as a central point of coordination between teams. You’ll help drive operational effectiveness across the business by coordinating schedules, managing logistics, supporting compliance systems, and improving internal processes. The Operations Coordinator is vital in maintaining efficiency, tracking performance, and supporting the wider operations team with execution of key projects.

Working hours: Monday - Friday, 8:00 am - 4:30 pm

Job Duties And Responsibilities

  • Support Prime4 and Qualityze systems, ensuring compliance activities (e.g. calibration) are planned without disrupting day-to-day operations
  • Coordinate logistics, scheduling, and resource planning across multiple departments
  • Maintain and update the Workshop Technician planner
  • Fulfil equipment rental orders, ensuring fleet availability is optimised
  • Monitor and manage repair part inventory and initiate purchase requests as needed
  • Liaise with on-site contractors to manage permits and communicate scope of work
  • Prepare and support reports and presentations for senior leadership
  • Track and monitor operational KPIs, identifying areas for process improvement
  • Maintain records of quarantined equipment and associated timelines
  • Manage shipping and logistics for imports/exports, including commercial invoices and tariff codes
  • Coordinate non-conformance reports (NCRs) and support investigation processes
  • Consolidate monthly site metrics across areas such as safety, quality, and operations performance
  • Attend Operations Meetings and maintain minutes of meetings (MoMs)
  • Communicate with Workshop teams to manage missing items from returned projects and support issue resolution
  • Oversee international shipment activity for products and company assets
  • Support inventory cycle counts and both internal and external audits
  • Maintain up-to-date and accurate purchase order records in line with ISO standards
  • Promote and uphold a proactive, process-focused safety culture across the site

Education And Experience

  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office applications
  • Adaptability and resilience under pressure; able to multitask and manage shifting priorities independently
  • High personal integrity and strong ethical standards
  • A proven background in operations support, ideally in service or field-based industries
  • Experience working with planning or operations systems (ERP tools such as Oracle preferred)
