Job Description:

Purpose of The Role:

The Operations Associate is responsible for coordinating and managing various operational tasks to ensure the frictionless set up of Client jobs for our field teams whilst maintaining clear communication processes. This role requires proficiency in using the BLINK platform for communication. There will be elements of managing data and maintaining product and store information. The Operations Associate will act as a liaison between many internal departments ensuring all operational procedures are executed efficiently and effectively.

Key Areas & Responsibilities:

  1. COPS: Operational set up of an activity throughout the cycle of a job (For CORE (DS) / Solus (TS) channels – Account Team to set up all others, with Ops Associate picking up from planning)
  2. Account Team Queries: Respond to queries and requests from the Account Team and other internal departments
  3. Dispatch List Coordination: Liaise with the warehousing & rework team to manage and coordinate the dispatch of POS. Ensure timely and accurate dispatch of orders.
  4. Daily Communication: Facilitate Weekly Focus communications to Field Colleagues & RPMs (Regional Project Managers) from account teams via BLINK. Ensure clear and consistent messaging to maintain alignment across teams.
  5. BLINK Platform Management: Handle queries on the BLINK platform, with a minimum of three queries per day. Find solutions and respond promptly, avoiding unnecessary tagging. Set up and monitor BLINK chat groups for high-priority jobs and channel communications. Continuously monitor BLINK folders to ensure relevant data is loaded and up to date.
  6. CDB Maintenance: Manage and maintain the CDB (Central Database) for bulk uploads from RPMs. Ensure data integrity and accuracy within the database.
  7. Product Code Maintenance: Maintain and update product codes as necessary. Ensure that all product information is accurate and current.
  8. ADHOC: Regular updates to Line Manager. Provide Holiday/Absence cover for team members. Attend, support, and input to regular team meetings.

Skills & Experience Required:

  1. Proven experience in an operations role, preferably within a central or fulfilment operations team.
  2. Proficiency in using communication and data management platforms, particularly BLINK.
  3. Strong organizational and multitasking skills.
  4. Excellent communication skills, both written and verbal.
  5. Strong analytical skills with the ability to interpret data and make informed decisions.
  6. Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  7. Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  8. Familiarity with database management and maintenance.
