The Freight Operations Executive will be responsible for coordinating the movement of goods from arrival to final delivery, ensuring all operational, documentation, and customer service processes are followed efficiently and accurately. This role is key to maintaining the smooth flow of perishable goods through our facility and onward to clients, while upholding organizational standards and regulatory compliance.
Documentation & Records
Prepare collection and delivery notes in line with daily arrival and dispatch schedules.
Maintain accurate and organised records for all inbound and outbound shipments.
Ensure all documentation meets internal and regulatory requirements (e.g., DEFRA).
Communication & Coordination
Liaise directly with customers to confirm product arrivals, inspections, and delivery windows.
Coordinate with suppliers, warehouse personnel, and transport teams to ensure timely movement of freight.
Serve as a first point of contact for telephone and in-person enquiries from drivers and clients.
Track shipments throughout the transportation process using internal systems and software.
Provide real-time updates to clients and internal stakeholders.
Proactively address and resolve any issues, including delays, damages, or clearance complications.
Customer Service & Support
Provide collection notes or tickets to drivers upon arrival.
Resolve customer queries promptly and professionally, both over the phone and in person.
Foster strong relationships with clients by providing consistent, high-quality service.
Previous experience in logistics, freight, or warehousing operations (preferred).
Experience with perishable or temperature-sensitive goods (preferred).
Strong understanding of customs clearance and DEFRA requirements (advantageous).
Proficient in MS Office and relevant freight/logistics software.
Strong communication skills, both verbal and written.
High level of attention to detail and accuracy.
