Hours - Monday to Friday, 37.5 hours per week with flexible, hybrid working

Holiday – 22 days annual leave (excluding bank holidays)after 5 year service increasing by one day per each year of service (up to a maximum of 5 days)

About The Operations And Finance Assistant Role

Brief Description Of The Role

The role supports multiple functions and is key to maintaining effective internal processes. You will support in day-to day business operations with a focus on finance, administration, compliance and general office support. You will play a key role in ensuring the smooth running of day-to-day operations across the business reporting directly to the Operations and Finance Manager.

Key responsibilities of an Operations and Finance Assistant will include:

  • Finance Support: Assist with disbursements, supplier invoices, purchase orders, expense claims, and credit card submissions.
  • Liaison Duties: Coordinate with suppliers, external service providers, and the TC Finance Team regarding financial queries and documentation.
  • Journal & Account Management: Prepare monthly journals, maintain client bank accounts, and reconcile expenditures against budgets.
  • Direct Debits: Manage the Direct Debit process including setup, cancellation follow-up, and monthly collections.
  • Filing & Records: Organise and maintain financial and administrative documents systematically.
  • Credit Control: Monitor client accounts, chase overdue invoices, manage payments and refunds, and minimise bad debt.
  • Compliance & Student Support: Oversee training logs, book courses, liaise with training providers, and monitor student progress.
  • IT & Admin Support: Assist in user setup and access management across software, maintain commission trackers, and support contract and lease administration.
  • Team Coordination: Collaborate with admin and outsourcing teams for HR-related monitoring and general support tasks
  • Facilities & H&S: Serve as a point of contact for facilities issues, support maintenance coordination, and assist in health & safety compliance activities.

About You

We are looking for candidates with the following skills and experience:

Essential

  • Previous experience in an administrative, finance or business support role.
  • Strong IT skills, including Microsoft Office (Excel, Word, Outlook, Teams).
  • Good numeracy, accuracy and attention to detail.
  • Ability to prioritise tasks and manage time effectively.
  • Strong interpersonal and communication skills.
  • Awareness of confidentiality, GDPR and professional conduct in the workplace.

Desirable

  • Experience in finance systems such as Xero, Chaser and Fathom.
  • Experience in credit control.
  • Basic understanding of facilities, compliance and finance procedures.
  • Knowledge of Health & Safety processes.
  • A relevant qualification. ( e.g. Business Administration – level 2 NVQ/ Diploma,
  • Chartered Institute of credit Management UK – Level 2, AAT).
