Job summary

Ministry of Justice in Swansea is seeking Admin Officers to provide excellent administrative support and customer service to court users, judiciary and management.

The role is office-based with duties spanning document verification, record keeping, and preparing papers for court proceedings. You will interact with the public and judges, contributing to performance targets and service standards.

Responsibilities

  • Communicating with the Public, the Judiciary, and other Court/Tribunal users and agencies.
  • Preparing papers and files for court, tribunals, hearings and meetings.
  • Creating and updating records on the in-house system and data input.

Our Admin Officers play a critical role, providing excellent administrative support and customer service to court users, judiciary and management.

HM Courts & Tribunals Service (HMCTS) is responsible for the administration of criminal, civil and family Courts and Tribunals in England and Wales. Your role

Working as part of a team, you will contribute to the overall operational, performance and service standard targets across your area of work. You will progress cases through the court/tribunal system and provide administrative support to functions within HMCTS. You will have regular contact with court / tribunal users, which could include members of the Judiciary and the legal profession.

The role is primarily based within the office. Clerking duties will also be incorporated into the post, supporting the smooth running of court proceedings.

You will be adaptable, able to multi-task and effectively carry out a variety of duties, which will include:

  • Primary function- Resulting courts accurately, interpreting accurately the information required on a court file.
  • Checking and verifying documents, records, accounts, claims and returns for approval, results, statistics, plans etc. against criteria, regulations or procedures.
  • Collecting and assembling information for returns, results, accounts, statements, warrants, statistical analysis, reports, etc
  • Communicating with the Public, the Judiciary, other Court and Tribunal Users and Representatives of other Agencies and Organisations
  • Preparing papers and files for court, tribunals, hearings and meetings
  • Creating and updating records on our in-house computer system and data input

These operational roles are customer facing, requiring successful applicants to be office based to provide HMCTS services to the public. Standard full time working hours are 37 hours per week. HMCTS welcomes part‑time, flexible and job‑sharing working patterns, where they meet the demands of the role and business needs and are agreed prior to appointment. All applications for part‑time, flexible and job‑sharing working patterns will be considered in accordance with the MoJ’s Flexible Working policy.

Skilled Worker Visa - This role is noteligible for new Skilled Worker visas in accordance with the current immigration rules.

From 22 July 2025, the Government increased the salary threshold and skills level for Skilled Worker visas.This role doesnot meet the eligibility criteria for sponsorship in accordance with the current immigration rules if you looking to apply for a Skilled Worker Visa for the first time.

The Department cannot consider sponsoring you for this role unless you have held a Skilled Worker visa continuously since before 22 July 2025. The successful candidate will undergo - Fire and Incident Control Officer training (FICO) and on occasion be Senior Person on Site (SPOS), they will also be expected to support and assist with these duties

Working Arrangements & Further Information

The MoJ offers Hybrid Working arrangements where business need allows. This is an informal, non-contractual form of flexible working that blends working from your base location, different MoJ sites and / or from home (please be aware that this role can only be worked in the UK and not overseas). All employees will be expected to spend a minimum of 60% of their working time in an office, subject to local estate capacity.

Some roles will not be suitable for Hybrid Working. Similarly, Hybrid Working will not suit everyone’s circumstances. Arrangements will be discussed and agreed with the successful candidate(s) and subject to regular review.
