Job description

We are looking for an experienced project coordinator to support the Operational Readiness (OR) workstream, a key part of the Ropemaker Programme to move our London HQ to a new, modern workplace designed for hybrid working.

As the project coordinator, you will play a vital role in ensuring the success of one of the largest programmes for the firm. You will be responsible for supporting with the relocation of the business to the new headquarters and for supporting the activities of the workstreams involved. Amongst your responsibilities, you will:

  • Produce and maintain the single detailed plan for OR and the migration from Silk Street into Ropemaker.
  • Liaise with all workstreams, Operations and Tech Ops for their requirements to the OR plan, supporting the sub workstreams in developing and reviewing their individual plans - Service Readiness and Building Readiness activities.
  • Ensuring co-ordination of plans between sub streams including visibility to ensure alignment and handover.
  • Support the Workstream leader (WSL) in ensuring successful running of key workstream meetings including logistics planning, maintaining and update plans and activity logs to ensure coordination amongst the workstream’s sub-streams and driving towards delivery.
  • Support WSL through maintaining and updating risk documentation, liaising with WSL and other team members to assign actions and interventions to actively manage those risks.
  • Working closely with OR WSL to manage costs and contingency for the workstream, coordinating with central programme PMO and ensuring timely execution of finance and cost management activities.
  • Collate fortnightly reporting including gathering content from contributors and agreeing key outputs with WSL (i.e. overall status, issue reporting).
  • Secretariat for any governance bodies within OR – planning agendas, ensuring minutes and actions (with due dates) are captured. Follow up to track status of actions, recording when actions are completed and escalate any issues to the WSL in good time
  • Assist with establishing and then lead the management of a change process to ensure any changes to scope, budget, programme etc are fully considered and presented at the appropriate level of governance for decision

Your experience

  • 3-5 years of experience of successfully managing teams, and complex project management and coordination.
  • Experience of delivering and managing projects with multiple stakeholders and workstreams – coordinating and development of plans.
  • Practical understanding of all aspects of project coordination to assist with the mobilisation of a new HQ building and all of the necessary services including but not limited to move and migration planning, installation of direct purchased FF&E, snagging, services mobilisation and transition, facilities mobilisation, business continuity support, licensing and planning.
  • Experience of rigorous governance management, reporting, project planning and budget management.

Your part in the team

  • You will part of the Operational Readiness team
  • You will be working within the programme team context, including with other workstream leads, the programme team and other experts within our business organisation.
  • You will be expected to work across all levels within the programme team for example, the sub workstreams and the wider PMO team to report and coordinate the OR workstream.
