Job summary

Applications are invited from suitably qualified and experienced candidates to provide clerical support on our Oncology Day Unit. The post will be based at Hexham General Hospital but the post holder will be expected to work across other sites within the Trust as required. The successful candidate will provide a reception service and act as the initial first point of contact for patients, visitors and other healthcare professionals by telephone and face to face, and will coordinate the diary for patients receiving SACT treatment. The post holder should have excellent communication, organisational and interpersonal skills. During periods of staff sickness or annual leave, the post holder would be expected to cover at other units across the Trust. We reserve the right to close this vacancy prior to the closing date once the required number of applications have been received.

Main duties of the job

To support the Management Coordinator in providing high quality administrative/secretarial support to the Oncology Day Units to enable efficient running of the day units. This includes accessing IT systems such as Chemocare and PAS; full training and support will be provided.

  • Provide an efficient administration and clerical service to unit staff, visitors and patients.
  • Provide a reception service, acting as the first point of contact on the telephone or face to face for patients, visitors and other healthcare professionals.
  • Facilities good communication with other wards and departments involved in patient care or ward/departmental functioning.
  • Support the ODU Manager/Sister and ensure the smooth daily running of the clinical area.
  • Assist in the setting up and maintenance of the patient database.
  • Schedule patients’ treatment on Chemocare and defer when required as advised by the clinical team.
  • Maintain diaries and appoint/appointment-related records; manage waiting lists and Bring Forwards for Directors as appropriate.
  • Respond to ad-hoc requests when required and provide administrative support to the Oncology Day Units.
  • Act as main point of contact for patients and third parties (e.g., other clinicians, GP, police, social care, legal) to resolve queries, respond to requests for information or notify third parties as required by clinicians.
