We're Hiring: Office / Studio Coordinator - The Beating Heart of the Studio


Can you keep a studio humming, people smiling, and every last detail right where it should be? We're looking for a super-organised, proactive Office / Studio Coordinator to keep our client's award-winning architecture studio running like clockwork!



About The Company:


Our client is a creative, design-driven studio working across workplace, hospitality, and residential projects. The team is bold, collaborative, and serious about great design - but they also know how to keep things human, warm, and inspiring.



Where You'll Be:


Southwark, London - A stone's throw from Elephant & Castle (the role is based 100% on-site in our vibrant office).

Your Mission:


You'll be the person who keeps the busy studio buzzing - managing operations, supporting people, and making sure the space is as inspiring as the work we create.



What You'll Be Doing:


Studio & Office Operations



  • Keep the studio running smoothly - managing supplies, equipment, budgets, and vendor relationships.

  • Schedule meetings, manage calendars, and coordinate travel for the team.

  • Maintain office policies and make sure everyone's on the same page for how we work.

  • Be the friendly, professional first point of contact for visitors, clients, and suppliers.

  • Act as the 24-hour emergency contact for facilities or security issues.

  • Look for ways to improve processes so the studio works smarter, not harder.


Facilities Management



  • Oversee all building systems - making sure everything's functional, safe, and looking its best.

  • Coordinate with cleaning services to maintain a spotless, welcoming studio.

  • Manage contractors for repairs, upgrades, and emergencies.

  • Plan and deliver maintenance schedules, space planning, and refurbishments.

  • Drive sustainability initiatives to reduce waste and energy use.


Health & Safety Leadership



  • Be the go-to person for all H&S matters, from risk assessments to policy updates.

  • Organise regular safety training, fire drills, and first aid provision.

  • Keep compliance documents up-to-date and audit-ready.


Team Management



  • Lead and mentor the admin team, ensuring tasks are delegated effectively and deadlines are met.

  • Hold regular catch-ups, training sessions, and performance reviews.

  • Foster a positive, can-do culture within the team.


HR Support



  • Assist with recruitment, from posting jobs to onboarding new hires.

  • Maintain accurate, confidential employee records.

  • Support day-to-day HR queries and step in for the HR Manager when needed.



We'd Love You To Have:



  • Experience in office or studio coordination/management, ideally in a creative environment.

  • Solid facilities management knowledge (both hard and soft services).

  • Health & Safety expertise, including policy management and training.

  • Team leadership experience with the ability to build strong relationships.

  • Bonus points for HR experience or ISO auditing knowledge.

  • Flexibility to be the on-call contact in rare out-of-hours situations.
