Job summary

Amodo Design in Sheffield is seeking an Office, Operations and Finance Assistant to provide day-to-day support across finance, HR, health & safety and office management. The role is ideal for someone who is highly organised, proactive and keen to learn, with entry-level welcome and on‑the‑job development.

You will help with billing, purchasing, supplier communications, stock management, onboarding, and safety records while contributing to efficient business operations in a growing hardware

Qualifications

  • Proficient with Excel/Google Sheets; comfortable with data analysis.
  • Able to work across finance, HR administration and operations.
  • Able to communicate clearly and track tasks end-to-end.

Responsibilities

  • Run monthly billing processes; reconcile records and produce invoices.
  • Assist with processing purchases and maintaining records.
  • Coordinate with accountants, insurers and providers; manage documentation.
  • Own and improve project budgets, contracts and financial flows where appropriate.
  • Support recruitment administration and onboarding of new starters.

We're looking for an Office, Operations and Finance Assistant to provide day-to-day support across core operational areas including inventory management, finance, HR administration, health & safety coordination, and office management. This is an ideal role for someone who is highly organised, proactive and keen to learn, supporting the wider team to keep processes running smoothly and records accurate and up to date. We're open to entry-level applicants and are excited to help you train and develop on the job.

What you’ll do

Finance

  • Learn to run the monthly billing process – reconcile records, chase missing information, and produce invoices.
  • Assist with the admin of processing purchases, keeping records complete and consistent.
  • Correspond with accountants, insurers and other providers.
  • Come to understand our systems deeply – how we track project budgets, client contracts and financial flows – and grow into owning them: perform analysis, streamline away inefficiencies and sources of inconsistency, adapt and improve them as we evolve, and develop new processes when they are needed.

General support

  • Take ownership of assigned ops tasks and complete them within agreed timelines.
  • Act as an initial point of contact for Amodo by answering the intercom, signing in visitors, and receiving phone calls.

Inventory management

  • Support goods-in and goods-out processes, including receiving deliveries, booking in stock, and preparing shipments.
  • Help maintain a tidy, safe and well-organised Storage Area.
  • Carry out periodic stock checks and assist with stock takes to maintain accurate inventory records.

HR support

  • Support recruitment admin, including arranging interviews, liaising with candidates and sending outcome communications.
  • Assist with onboarding new starters, e.g. ordering equipment, creating new accounts, maintaining staff records etc.

Health & Safety support

  • Help keep health & safety records up to date, including training logs, risk assessments and workplace safety documentation.
  • Act as a First Aider and Fire Marshal (training provided if required).
About you

We value drive, culture fit, and a track record of exceptional achievement above all else, but the competencies, interests and attributes below are highly desirable:

  • Good with numbers – you're comfortable in Excel/Google Sheets, would happily pick up tools like Python, SQL or R, and you understand what figures mean rather than just where they go. Prior finance or bookkeeping experience is a bonus but not a requirement.
  • Unfazed by ambiguity – you can make progress on a problem that isn't fully defined yet, and ask the right question rather than waiting to be told.
  • Effective prioritisation – you have clear reasoning about what's important to work on now and what should be left for later, and you're able to update well when business priorities change.

  • Attention to detail and completer-finisher – you notice when the little things aren't quite right, and you're able to consistently see tasks through to 100% complete rather than leaving them mostly done.
  • Excited to learn – you're hungry for new skills & knowledge across a wide range of areas.
