Office Manager/Team PA

Contract Type: Permanent, Full Time

Salary: £30,000 - £35,000 per annum DOE

Hours: 9am - 5:30pm, Monday - Thursday with half-day Fridays! ?

Full time in office

Location: Office-based in Central London

Join Our Team as an Office Manager/Team PA! ?

Are you a confident, proactive, and highly organised individual looking to make a real impact in an exciting lighting design practise? If so, we want you to be our Office Manager/Team PA! Based in the heart of London, this is a fantastic opportunity to thrive in a fast-paced environment while supporting our dynamic team.

What You'll Do:

As our Office Manager/Team PA, you will be the backbone of our office, providing vital support to the management team and ensuring everything runs smoothly. Your responsibilities will include:

PA Duties:

Manage complex diaries and travel arrangements for the Founder & Directors.
Monitor and respond to emails on their behalf.
Remind Directors of tasks, deadlines, and meetings.
Assist with timesheets and expenses, plus other ad-hoc tasks.

Team Support:

Be the go-to person for the entire team in their absence.
Liaise with clients and suppliers effectively.
Organise travel and accommodation logistics.
Prepare correspondence and presentations.

Office Management:

Oversee the upkeep and maintenance of the office space.
Manage supplier relationships for services like cleaning and maintenance.
Ensure compliance with health and safety regulations.
Maintain office supplies and coordinate orders.
Greet clients and support the Operations Director with office and IT operations.
Answer call, transfer or take messages where applicable.
Monitor and forward/response to the office email inboxes.
Schedule weekly product presentations.
Maintain office databases and filing.
Organise internal/external events.

Marketing/PR Support:

Assist with PR and promotional material production.
Organise project photo/video shoots.
Support PR manager with social media, online platform content and analytical reporting where needed.

HR Duties:

Provide support to the Head of People, Culture and Engagement.
Help coordinate training sessions and employee development programmes.
Assist with job postings, scheduling interviews and onboarding materials for new hires.
Maintain accurate employee records.
Assisting with preparing and updating company policies & procedures.

What We're Looking For:

Exceptional organisational and time management skills.
Strong communication and interpersonal abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience in facilities management and vendor relationships.
A proactive, solutions-oriented approach with discretion in handling confidential information.
