Job description

A leading Global Beauty Group is seeking an Employee Relations Advisor and Office Manager to be based in their offices in London.

This role involves acting as an HR Advisor and managing reception, diaries, travel, meetings, and maintaining an efficient office environment. The successful candidate will provide administrative and clerical support to the General Manager and the HR team, contributing to business growth in line with company forecasting.

Responsibilities:

HR Advisor:

  • Facilitate onboarding and induction processes.
  • Advise managers on handling underperformance or development issues.
  • Manage disciplinary files and actions, resolve workplace conflicts, and investigate complaints.
  • Monitor sick leave, maternity/paternity leave, and other absences.
  • Support managers in managing long-term absence cases.
  • Help implement and interpret HR policies and procedures.
  • Ensure HR practices are consistent and legally compliant.
  • Provide advice to employees on HR policies, procedures, and employment matters.
  • Act as the first point of contact for employee queries.

Employee Engagement:

  • Organize social events to foster team engagement and build professional networks across different areas.
  • Coordinate corporate events such as Christmas parties and team-building activities.

Office Management:

  • Answer general calls and messages to the General Manager.
  • Maintain and coordinate the calendars of the General Manager and other senior managers.
  • Organize appointments, meetings, travel, and accommodation arrangements as directed.
  • Greet visitors and direct them appropriately.
  • Prepare refreshments and lunches for meetings.
  • Manage incoming and outgoing mail and deliveries.
  • Assist with filing, scanning, and copying documents.
  • Maintain office IT and storage systems with support from the Group IT Department.
  • Maintain documents, reports, and correspondence.
  • Perform work-related errands as requested.
  • Monitor and maintain office supplies.
  • Ensure health and safety audits are conducted and improvements are implemented if needed.
  • Maintain cleanliness and tidiness of office areas and provide healthy snacks regularly.
  • Arrange courier services as required.

Experience and Competencies:

  • Previous office management and/or employee relations experience is essential.
  • Valuable experience in travel management and event planning.
  • Collaborative, competent, engaging, proactive, and approachable demeanor.
  • Business college training is an advantage.
  • Proficient in Word, Excel, PowerPoint, with strong numerical and literacy skills.
  • Excellent organizational, planning, and prioritization skills.
  • Strong verbal and written communication skills.
  • Problem-solving ability, accuracy, and attention to detail.
  • Reliable, flexible, and with a strong team spirit.
  • Brand industry experience is a plus but not essential.
  • Analytical thinking skills.
