Job description

We have an exciting opportunity for an Office Manager & Executive Assistant to join the Lucy & Yak team!

The Office Manager & Executive Assistant supports our Managing Director with day-to-day organisation, diary and inbox management, and admin tasks. They are also responsible for managing the Brighton Office, ensuring it is a safe, welcoming, and well-run space for the team.

You will juggle priorities, keep things running smoothly behind the scenes, and help create a positive working environment for everyone at Lucy & Yak.

What you'll be doing...
Executive Assistant Support
  • Managing diaries and inboxes to keep everything organized
  • Booking travel, arranging meetings, and processing expenses
  • Preparing agendas, presentations, or notes as needed
  • Assisting with occasional personal tasks
  • Handling sensitive information with confidentiality and care
Office Management
  • Ensuring the office is safe, secure, and welcoming
  • Collaborating with landlords, property teams, and contractors for maintenance and repairs
  • Managing supplies and equipment to support the team
  • Serving as the go-to person for team inquiries and support
Health and Safety
  • Leading health and safety initiatives for the Brighton space
  • Maintaining risk assessments and emergency plans
Administration
  • Managing the Brighton office budget, tracking invoices and expenses
  • Processing expense reports for the Managing Director and leadership team
  • Coordinating travel arrangements as needed
  • Organizing meetings and events, including tech setup and catering
  • Receiving and distributing post and packages
  • Supporting ad hoc projects as required
What you need...
  • Significant experience in an EA/PA role supporting at C-level
  • Proven experience in office and facilities management
  • Knowledge of health and safety compliance in an office environment
  • Proficiency in Microsoft 365 or Google Workspace, and booking platforms
  • Excellent communication, interpersonal, and relationship-building skills
  • Ability to remain calm under pressure, manage shifting priorities, and handle confidential matters discreetly

  • Salary: £32,000 - £35,000 per annum, based on experience
  • Location: Brighton Office
  • Role: Permanent
  • Hours: 30 hours/week (4 days) with full-time salary
