Job summary

Saltus Partners LLP in Truro is seeking an Office Manager to lead a team of Administrators and Paraplanners, ensuring high-quality support for Financial Planners and clients.

Responsibilities

  • Lead, support and develop a team of Administrators and Paraplanners.
  • Hold regular 1:1s and development conversations with team members.
  • Manage workloads and resources to support Advisers.
  • Monitor performance, quality and service standards.
  • Plan capacity and allocate workflow to meet objectives.
  • Lead recruitment, onboarding and ongoing development.
  • Deliver structured inductions for new starters.
  • Resolve day-to-day queries and escalations with stakeholders.
  • Collaborate with Advisers, Branch Manager and other teams.
  • Oversee administration and paraplanning delivery to clients.
  • Ensure client work meets regulatory and company requirements.
  • Identify process improvements and smarter ways of working.
  • Provide regular updates on performance and capacity.
  • Build relationships across the business and with Compliance.
  • Support projects and system improvements as required.

Job description

We are seeking a highly organised and proactive Office Manager to lead and support our Truro team within Abacus. This role is responsible for the day-to-day management of a team of Administrators and Paraplanners, ensuring the delivery of an efficient, high-quality service that supports our Financial Planners and clients.

As part of the Saltus Group, Abacus specialises in supporting independent advisers through a highly resourced, collaborative model that allows them to focus on what matters most — providing outstanding advice and service to their clients. Our structure provides advisers with the tools, systems, compliance support, and back-office assistance they need to run efficient, successful practices without compromising their independence.

Operating in a fast paced, collaborative environment, you will play a key role in ensuring that advice support functions run efficiently, enabling Advisers to focus on delivering high-quality financial planning. By embedding best practices, optimising processes, and driving service excellence, you will help maintain the highest standards in client service while ensuring seamless operational support.

The Office Manager is responsible for:
  • Lead, support and develop a team of Administrators and Paraplanners, creating a positive and collaborative team culture.
  • Hold regular one-to-one meetings and development conversations, providing coaching, feedback and support to help team members succeed.
  • Manage team workloads and resources to ensure Advisers receive timely and effective support.
  • Monitor team performance, quality and service standards, addressing any issues and identifying opportunities to improve efficiency.
  • Manage team capacity, through resource planning and workflow allocation to ensure service levels and business objectives are achieved.
  • Take ownership of recruitment, onboarding and ongoing development of team members, working closely with the Branch Manager and People team where required.
  • Ensure new starters receive a structured and welcoming induction, helping them settle quickly into their role and the wider business.
  • Act as the main point of contact for day-to-day team queries, issues and escalations, providing guidance and resolving challenges where needed.
  • Work closely with Advisers, the Branch Manager and other stakeholders to understand priorities, manage capacity and ensure work is delivered effectively.
  • Oversee the delivery of administration and paraplanning services, ensuring a high standard of support for both Advisers and clients.
  • Ensure client work is completed accurately, efficiently and in line with regulatory and company requirements.
  • Look for ways to improve processes, systems and ways of working, helping the team work smarter and deliver a consistently high level of service.
  • Maintain oversight of key team metrics and provide regular updates to the Branch Manager on performance, capacity and any operational challenges.
  • Build strong relationships across the business, working collaboratively with Advisers, Compliance and other support teams.
  • Support business projects, change initiatives and system improvements as required.
  • Promote a culture of teamwork, accountability, continuous improvement and excellent client service.
What skills and experience do I need to have?

To be successful in this role, the ideal candidate will have:

  • Strong operational oversight with experience in financial planning, paraplanning, and client support.
  • Proven leadership and team management within financial services, ensuring efficiency and service excellence.
  • Excellent stakeholder management, collaborating with leadership, training, and support teams.
  • Strategic and organised, able to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail, ensuring accuracy and consistency in all processes.
  • Excellent communication skills with a client-focused approach to enhance Adviser and client experiences.
  • Familiarity with FCA regulations and compliance standards within financial advice firms.
  • Have strong IT skills; experience of IO and Genovo are advantageous

This role is ideal for someone with knowledge in Paraplanning and Client Services, a passion for developing high-performing teams, and the ability to drive operational efficiencies while maintaining a high standard of client support.

As the Office Manager, you would generally have/be:
  • Approachable leader with a strong focus on delivering an excellent client experience.
  • Thrives in a busy environment, managing deadlines while staying calm.
  • Strong attention to detail with a focus on accuracy and clear communication.
  • Excellent verbal and written communication, including proofreading and grammar skills.

Where will I be working?

We are looking for someone to be based from our Truro office the majority of the week between the hours of 09.00 – 17.00. We’re incredibly flexible about when and how you work: we don’t want anyone to be prevented from coming to work for Saltus as a result of the working pattern that they’re looking for. What benefits do I get when working for Saltus?

The salary is between £35,000-£45,000 per year depending on experience, alongside 25 days’ holiday (plus bank holidays) + your birthday off, a pension, life assurance and income protection cover as well as access to our flexible benefits platform.
