Role Overview:

The Office Manager is responsible for overseeing office operations, including maintenance, supplies, and equipment, as well as the fire, health and safety requirements ensuring a compliant, safe and efficient working environment. They also support onboarding of new starters and administrative tasks, maintain databases, and coordinate meetings and training logistics. Supporting on ad hoc projects for the office. Strong organisational, communication, and multitasking skills are essential for this role. By the very nature of the role, it is office based. They are the familiar face that everyone gets to know and trust in the office.

What skills and working characteristics should this person have?

    • Proven office management, administrative, or assistant experience
    • Knowledge of office management responsibilities, systems, and procedures
    • Knowledge of fire, health and safety or relevant certifications preferred but training can be provided.
    • Excellent time management skills and ability to multitask and prioritise work
    • Attention to detail and problem-solving skills.
    • Excellent written and verbal communication skills.
    • Strong organisational and planning skills.
    • Proficient in Microsoft Office.
    • Knowledge of cost efficiency and administrative management practices and procedures.
    • Knowledge of clerical practices and procedures.
    • Knowledge of business and management principles.
    • Being available and hands on to meet the needs of the office and business.

As an Office Manager, you'll be responsible for:

    • Organise and schedule travel arrangements for staff.
    • Support Executives with light PA duties and meeting arrangements.
    • Organise office operations and procedures such as company insurance, health and safety and fire regulations and checks.
    • Coordinate with IT department on all office equipment for new starters.
    • Provide general support to visitors.
    • Responsible for managing office communal areas and the general upkeep of these areas
    • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office.
    • Perform review and analysis of office projects and keep the management properly informed.
    • Coordinate the logistics and organisation of training events - onsite and offsite.
    • Monitor and maintain all office supplies (cleaning supplies, coffee, bar fridge and snacks).
    • Managing office cleaners and maintenance contacts.
    • Organise the periodic scheduling and execution of environmental, health and safety office checks.
    • Manage Fleet administration by ensuring van drivers complete their monthly Vehicle Inspection
    • Reports and organising any services, MOT's or repairs that need doing for the vans.
    • Supporting the ISO certification process annually.
    • Driving ad-hoc projects such as B-Corp application.
    • Manage office opening and closing rota.
    • Point of contact in office for general support.
    • Maintain a happy, safe and secure working environment.
    • Onsite every day and opening and closing office on rota.
    • Hands on approach, willing to do light repairs.
    • In collaboration with HR, supporting the onboarding and travel arrangements for new staff members.
    • Processing new starters and leavers with driver checks, Dart Charge, desk booking system, online manual handling, health and safety equipment, keys, and fob, systems access
    • Maintaining databases and spreadsheets (Office Vibe, PMI, Cycle to Work, New starter Log, Leavers Log, etc.
    • Conducting People Audits (e.g., DBS checks)
    • Collecting data and information e.g., employees list, benefits uptake, benchmarking data etc.
    • Gathering data for monitoring, reporting and continuous improvement
    • Tracking of home office equipment.
    • Collection of leavers equipment and offboarding.
