We have an excellent opportunity for an experienced Office Manager to join this well-established security systems installations and maintenance company in Theale, Reading.

About the role
As Office Manager you will be responsible for the business management within the office and day to day administrative processes, providing and controlling administration services for Clients, Managing Director, Partners and Employees to ensure that assigned tasks are dealt with to a high standard in a professional, time and cost-effective manner and your responsibilities will include:

  • Providing administrative and management services in order to achieve agreed standards of service in a professional, time and cost-effective manner
  • Carry out the booking of general, survey, corrective and routine maintenance of client security systems
  • Carry out the planning and booking of installation of new client security systems
  • Provide general administrative assistance to the Partners and employees
  • Maintain adequate Company stock levels, placing orders as required
  • Provide customer feedback to senior management
  • Provide assistance as and when required with technical support for colleagues and clients by telephone and software packages, on occasions where an engineer is not immediately available
  • Open and distribute deliveries, construct kits and open post
  • General telephone call answering duties
  • Data entry into the businesses WinSims and other associated databases
  • Control and operation of WinSims SuperView programme
  • Control provision of URNs, key-holders and passwords
  • Organise the maintenance of safety, security and administrative equipment at the office
  • Control and prepare daily engineer diaries, control engineer on-call rota
  • Control business annual leave spreadsheets
  • Control and provide clear and concise paperwork detailing works undertaken on client sites
  • Ensure compliance with relevant Health and Safety Regulations, NSI, EN and BS Standards, internal business policies and procedures
  • Ensure the Company remains compliant with NSI (National Security Inspectorate) and other relevant Codes of Practice including health and Safety procedures through correct administrative procedures
  • Liaise with engineering staff directly so that all procedures are followed correctly
  • Control and report on business KPIs
  • Organise and attend regular meetings and job chats with team members
  • Contribute to the interviewing and employment of team members
  • Be committed to all Standards, Company Core Values and objectives
  • Attend regular audit and training sessions
  • Attend regular meetings and job chats with line Manager
  • Attend and contribute to monthly figures, staff planning, kit and diary meetings
  • Control review processes for team members

About you
To be successful for the role of Office Manager, you must be/have:

  • Previous experience in an Office Manager role
  • Experience working in the fire and security industry and familiar with BS EN ISO 9001 would be advantageous

About the rewards
As Office Manager your working hours will be 9am to 5pm, Mon to Fri and you will receive an excellent salary of £24,000 to £35,000 per annum, depending on experience, plus you will receive:
