Overview

Our client is currently looking for an experienced Administration Manager to join the team on a full-time, permanent basis. This is an exciting opportunity to join a growing business, supporting operations across multiple departments and leading a team of administrators. The successful candidate will play a key role in ensuring efficiency, accuracy, and high-quality service delivery particularly across invoicing, scheduling, customer reporting, and process improvements.


Responsibilities


  • Coordinate routine and emergency engineering visits

  • Manage engineer schedules and ensure job documentation is complete

  • Oversee availability of vehicles, equipment, and access to customer sites

  • Ensure timely issuing of service reports, quotations, and invoices

  • Process orders and invoices in the ERP system

  • Review timesheets, expenses, and ensure correct job costing

  • Maintain key accreditations (e.g. SafeContractor, Construction Line)

  • Create and monitor admin SOPs and data entry standards

  • Conduct data quality checks across systems

  • Produce and issue customer KPIs and service reports

  • Attend key customer meetings and follow up on actions

  • Handle warranty claims, customs processes, and general enquiries

  • Lead and support admin team members, including annual appraisals

  • Maintain training records and certifications for site access

  • Support staff development in line with business needs

  • Support mailbox management and tender submissions

  • Oversee parts ordering and engineer travel bookings

  • Provide cross-departmental admin support as needed
