Overview
Our client is currently looking for an experienced Administration Manager to join the team on a full-time, permanent basis. This is an exciting opportunity to join a growing business, supporting operations across multiple departments and leading a team of administrators. The successful candidate will play a key role in ensuring efficiency, accuracy, and high-quality service delivery particularly across invoicing, scheduling, customer reporting, and process improvements.
Responsibilities
- Coordinate routine and emergency engineering visits
- Manage engineer schedules and ensure job documentation is complete
- Oversee availability of vehicles, equipment, and access to customer sites
- Ensure timely issuing of service reports, quotations, and invoices
- Process orders and invoices in the ERP system
- Review timesheets, expenses, and ensure correct job costing
- Maintain key accreditations (e.g. SafeContractor, Construction Line)
- Create and monitor admin SOPs and data entry standards
- Conduct data quality checks across systems
- Produce and issue customer KPIs and service reports
- Attend key customer meetings and follow up on actions
- Handle warranty claims, customs processes, and general enquiries
- Lead and support admin team members, including annual appraisals
- Maintain training records and certifications for site access
- Support staff development in line with business needs
- Support mailbox management and tender submissions
- Oversee parts ordering and engineer travel bookings
- Provide cross-departmental admin support as needed
