Job Title: Office Manager
Location: Manchester
Duration: 18 months

We are recruiting an Office Manager for an 18-month contract in Manchester, supporting a client that delivers railway automation and telecommunication solutions worldwide.

You will organise and coordinate office operations, manage facilities, oversee administration staff, and provide direct Personal Assistant support to the Project Director, ensuring the smooth running of the office and leadership support.

Key Responsibilities:

Office Management:

  • Oversee day-to-day office operations, ensuring efficiency and compliance with health, safety, and legal requirements.

  • Manage office budgets, approve expenditure, and liaise with finance.

  • Coordinate facilities services, contractors, and building management issues.

  • Lead fire safety, health and safety checks, and manage office audits.

  • Line-manage reception staff and support project administrators, including recruitment, appraisals, and training.

  • Support onboarding and offboarding of staff, maintaining records and equipment tracking.

  • Organise and contribute to staff meetings, office briefings, and internal communications.

Personal Assistant:

  • Monitor and manage the Project Director’s inbox, responding and taking actions where appropriate.

  • Proactively manage the Director’s diary, meetings, travel, and schedules.

  • Prepare reports, presentations, and meeting materials for internal and client meetings.

  • Maintain strong relationships with client representatives, suppliers, and senior stakeholders.

  • Organise and coordinate meetings, events, and team sessions with internal teams and clients.

  • Collate and submit expenses for the Director.

  • Support preparation of business data and reports for operational meetings.

Requirements:

  • Degree/NVQ4/HND or equivalent, or at least 5 years in a similar office management and PA role.

  • Proven experience managing and supervising a team.

  • Excellent organisation, communication, and interpersonal skills.

  • Confident decision-maker with a proactive, problem-solving approach.

  • Advanced MS Office skills (Word, Excel, PowerPoint).

  • Ability to handle sensitive information with confidentiality and professionalism.
