The Wayfair Community Experience team operates physical environments that attract top talent, foster collaboration, nurture employee success and promote retention. Supporting 120+ Wayfair employees, as an Office Manager at our London office, you will be responsible for creating a safe, welcoming and efficient environment for our employees whilst promoting our positive Wayfair culture in everything you do. Your role will be employee facing and you will also work with a variety of vendors and visitors, you will place a key emphasis on providing a positive experience for all.

Key Responsibilities:
  • Operate our front desk, providing an exceptional experience for our guests, employees & vendors.
  • Manage our office operations in London, including running the snack program, health & safety, maintenance and our mailroom.
  • Establish and maintain relationships with outside vendors and our Landlord as necessary for site maintenance; administer local contracts and maintenance agreements.
  • Proactively identify ways in which to improve our office environment and make the experience as good as possible.
  • Be responsible for our Keycard Management & Inventory system for visitors, new hires and existing employees.
  • Take ownership of our Community Experience ticketing system in London; ensuring efficient handling of tickets.
  • Support with finance and invoice processing, including vendor management and collaboration with our finance teams to ensure speedy payment of our vendors.
  • Prepare monthly newsletters and support with business reporting for the London office.
  • Drive our Wayfair culture through supporting organizing regular employee engagement activations, as well as annual business events.
What you will need
  • Proven experience operating within an office management or administrative support function ideally within a fast paced environment.
  • The aptitude in Google or Microsoft Suite whilst displaying the agility to learn and adapt to new technologies and systems.
  • Effective communication skills (written, verbal and in person), with a positive approach to managing internal and external stakeholders.
  • Demonstrate an organized and structured approach; someone who can drive forward momentum of projects to be delivered on time and within budget.
  • Excellent problem-solving skills, with a detail-oriented work approach, to quickly address and adapt to challenges.
