Office Manager

Location: Right at Home UK National Office, Waterloo, Liverpool

Hours per week: Full time - Monday-Friday 37.5 hours p/w, Permanent

We are looking for an Office Manager to join our successful team at Right at Home UK National Office. As Office Manager, you will play a critical role in ensuring the smooth and efficient operation of our busy office. You will be responsible for a wide range of administrative tasks and will work closely with various departments, including the Directors, to support their daily activities. Assistance and leadership with ad-hoc projects is also required. Your attention to detail and organisational skills will be vital in maintaining a productive and welcoming work environment.

Key Responsibilities:

  • Managing administrative projects across a large network of independent franchise offices, such as network-wide surveys, communication webinars, managing network directories and membership renewals
  • Administrative duties, such as booking meetings, preparing meeting rooms, taking minutes, arranging lunch and making refreshments
  • PA support to the Chairman, CEO and Directors
  • Providing administrative support to departmental projects and in preparation for conferences and training programmes
  • Document management using the company intranet
  • Reception duties, including welcoming visitors, answering the telephone and being the first point of contact for enquiries, dealing with general enquiries
  • Maintaining a professional and organised office environment, including ordering stationery, equipment and kitchen supplies, and overseeing office maintenance.
  • Daily management of both postal and email enquiries
  • Proofreading, editing and formatting documentation for internal and external use in line with brand guidelines
  • Collating and distributing weekly office diaries and team calendars and allocating car parking spaces accordingly
  • Support with providing basic HR duties, such as requesting references; processing DBS checks; and other employment documentation; and ensuring employment data is up to date
  • Collating and typing up minutes and key correspondence on behalf of the management team and Directors

The successful candidate will have relevant experience and be looking to challenge themselves within a supportive but fast-paced environment. They will be friendly, polite and professional, and have:

  • Outstanding organisational skills and the ability to multitask while working under pressure.
  • Excellent problem-solving skills and initiative while working as part of a solid team.
  • The ability to prioritise workload to meet key deadlines while always working to high standards.
  • An extremely proficient working knowledge of all Microsoft Office applications, including Word, Excel and PowerPoint.
  • An excellent telephone manner, people skills, and ability to deal with enquiries efficiently.
  • The confidence to engage with internal and external stakeholders with professionalism and courtesy.
  • Excellent proofreading / editing skills.
  • Exceptional attention to detail.
