About the Role

We are seeking a proactive, organized, and personable Office Manager to oversee and coordinate all aspects of our office operations, security, and procedures at our European headquarters in the City of London. This full‑time, on‑site position (5 days a week) requires a self‑starter ready to take on dynamic responsibilities.

Responsibilities
  • Manage the administrative and front desk team, ensuring a positive visitor experience and company standards.
  • Oversee physical security requirements, ensuring staff compliance with office policies and external security audits (ISO 27001, SOC 2).
  • Coordinate office facilities management, ensuring equipment and workspaces meet high standards and arranging repairs or maintenance.
  • Manage vendor accounts—including office cleaners, property management, and suppliers—maintaining strategic relationships.
  • Control office spending and identify cost‑saving opportunities without compromising operations.
  • Administer in‑house programs such as corporate mobile devices, employee food & beverage, desk bookings, and other functions.
  • Ensure workplace health and safety compliance and maintain audit records.
  • Communicate regularly with management and staff to ensure daily office operations run smoothly.
  • Provide backup support for administrative tasks, front desk duties, and phone handling.
  • Assist with client events and staff socials as required.
  • Lead ad‑hoc projects and tasks as needed.
  • Collaborate with other global Office Managers to maintain consistent processes.
Qualifications
  • Bachelor’s degree or college diploma in a relevant field (e.g., business administration, office management).
  • Minimum five years of proven success in a similar role, showing effective management of office operations.
  • Familiarity with office security and experience with security audits.
  • Experience managing facilities and maintenance (strong asset).
  • Experience leading, coaching, or supervising a team (strong asset).
  • Proficiency in multitasking and managing multiple projects simultaneously.
  • Excellent organizational skills, managing schedules, resources, and supplies.
  • Strong written and verbal communication; ability to facilitate collaboration with team members, clients, and partners.
  • Proficiency in office software and productivity tools, including Microsoft Office Suite.
  • Meticulous attention to detail and accuracy in processes and documentation.
  • Strong leadership capabilities to motivate and lead administrative professionals.
