Job summary

Hippo Digital Limited is seeking an Office Manager to lead our London office on site, five days a week, 8:30am–5:00pm. The role includes health and safety, security, environmental and waste management, and requires initial travel to Leeds for induction training.

You will handle day‑to‑day office operations, coordinate with landlords and service providers, manage contractors, and support the central facilities team. The role supports a professional services culture with a broad set of benefits.

Qualifications

  • Facility management experience required.
  • IOSH Managing Safely or NEBOSH certificate desirable.

Responsibilities

  • Manage day‑to‑day operations of the London office.
  • Health and safety, security, environmental and waste duties.
  • Liaise with landlords, providers, and cleaners.
  • Support central facilities team and events.
  • Coordinate statutory testing and room bookings.
  • Oversee office supplies, guides, and visitor management.
  • Ensure adherence to policy including ISO standards.

About The Role


Our in-house facilities management team plays a key role in the management of our office portfolio (currently 6 offices). We are looking for an Office Manager to run the London office (as we move into leased premises) and support the central facilities team. The Office Manager plays a key role in the day-to‑day management of the office including health and safety, physical security, environmental and waste management.


This role requires the Office Manager to be on site 5 days a week (Monday to Friday), 8.30am to 5.00pm (current office location is near Holborn). In addition, the role will require travel to Leeds Head Office for a c.5 days induction training at the start of the role.


Key Responsibilities:

Day-to‑day office management of the London office in terms of:



  • Queries from staff

  • Visitor management

  • Office supplies

  • Office guides

  • Health and safety including

  • Fire safety — evacuation drills, weekly alarm tests, fire warden coordination, PEEPs, fire risk assessment

  • First aid provision

  • DSE assessments and workstation adjustments

  • Accident/incident reporting and RIDDOR escalation

  • Contractor management — RAMS, permits to work, induction of visiting contractors

  • Statutory testing coordination — PAT, emergency lighting, alarm servicing, legionella/water hygiene where applicable

  • External room bookings

  • Liaising with landlords/service providers/utility providers/service contractors/cleaners

  • Managing office maintenance and cleaning

  • Office security e.g. key cards, CCTV

  • Waste management

  • Supporting central facilities team activities and events e.g. company‑wide conference or remotely supporting other offices

  • Supporting adherence to policy and legal requirements including health & safety, environment, waste, security, ISO compliance (27001,45001/3, 14001, 22301) as well as providing relevant reporting where necessary

  • Delivering high standards of service and presentation in our offices in keeping with a professional services business but aligned to our culture


Skills and experience that you need


Essential skills/experience:


  • Facilities management experience

  • IOSH Managing Safely or NEBOSH General Certificate (desirable)

  • Customer service orientated attitude

  • Excellent people and communication skills (written and verbal)

  • Ability to work collaboratively with people and support an open and friendly culture

  • Proficiency with email, slack, diary management, spreadsheets

  • Comfortable working on own initiative

Hippo locations

We are headquartered in Leeds and have offices across the UK in Glasgow, Manchester, Birmingham, London and Bristol. We're on the lookout for top talent nationwide but you need to be located within reasonable travelling distance from one of our offices which will be your contracted office location. Given the dynamic nature of a consulting business, you may be required to work on‑site at a Hippo office or at an in/out of town client location for a number of days per week (client dependent) and therefore candidates will need to be open/flexible to travel. Plus, we offer a generous relocation support package of up to £8k (please ask for terms and conditions) to help make your move a smooth one.
