Title: Office and Facilities Manager
Reports to: UK H&S, Environmental and Facilities Manager
Base Location: Droitwich Spa - 100% Onsite - Fulltime
Contract: 6-12 Months FTC (With the Opportunity to go Permanent)

We are seeking a proactive and versatile Office and Facilities Manager to oversee and support the smooth operation of our Droitwich site, including both production and office environments.
This dual role combines hands‑on facilities maintenance support with responsibility for office coordination, ensuring a safe, efficient, and professional workplace for all employees. The ideal candidate will be equally comfortable managing maintenance schedules and contractors as they are overseeing office operations, budgets, and administrative processes.
Key Responsibilities
Facilities Management & Support
- Oversee the day-to-day running and upkeep of the site's facilities, including production, warehouse and office areas.
- Carry out or coordinate maintenance and repair tasks (basic electrical, plumbing, painting, or general repairs).
- Manage planned and reactive maintenance programmes, ensuring timely completion and minimal disruption to production.
- Liaise with external contractors, engineers, and service providers, ensuring compliance with site safety and performance standards.
- Support site projects such as refurbishments, layout changes, and facility upgrades.
- Ensure statutory inspections (fire alarms) are completed and records maintained.
- Oversee waste management, recycling and site cleanliness.
Health, Safety & Compliance
- Work closely with the UK Health and Safety, Environmental and Facilities Manager to maintain safe working conditions across the site.
- Conduct regular site checks and inspections to ensure compliance with legislation and company procedures.
- Support risk assessments, contractor control and emergency response planning.
- Maintain documentation for inspections, permits and safety records.
Office Management
- Manage day-to-day office operations, ensuring an efficient and well‑organised working environment.
- Oversee administrative functions including reception, stationery, supplies and general office upkeep.
- Coordinate meeting rooms, site access, and visitor management.
- Manage service contracts (cleaning, catering, utilities, office equipment, etc.).
- Support internal communications, staff events, and company initiatives.
- Ensure office procedures are followed and updated as needed.
- Supporting all visitors PPE for Site tours
Budgeting & Reporting
- Oversee facilities and support the UK Health and Safety, Environmental and Facilities Manager with office‑related budgets, ensuring cost control and efficient procurement.
- Track and report on facilities performance, maintenance schedules, and supplier KPIs.
- Identify opportunities for operational improvement and cost savings.
- Track and control all contractors that come onsite
Qualifications & Experience
Essential:
- Proven experience in facilities management, maintenance coordination, or a similar operational role (preferably in a manufacturing or production environment).
- Sound understanding of UK health, safety, and compliance standards.
- Basic hands‑on maintenance skills and ability to coordinate external contractors.
- Experience managing office operations and supplier contracts.
- Excellent organisational, problem‑solving, and communication skills.
- Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable with maintenance or facilities software.
Desirable:
- NEBOSH or IOSH qualification.
- IWFM (BIFM) or Facilities Management‑related qualification.
- First Aid or Fire Warden certification.
- Experience supporting lean or continuous improvement initiatives.
