Office Assistant, Registrar's Office – $8.00/hour

Position Information: Position Type: Student; Department: Registrar's Office (2510); Campus: Main Campus (Grantham); Supervisor: Marilyn Bellesfield; Work Period: Academic Year 2025-26; Hours Per Week: 10; Duration of Appointment: Fall; Work Schedule: Flexible shifts available between 8:00 a.m. and 5:00 p.m. Monday–Friday.

Responsibilities
  • Answer phones and assist visitors to the office; address students, faculty, parents and other inquiries related to academic policies and procedures as appropriate.
  • Distribute and file forms and correspondence.
  • Shred documents according to the cycle of appropriate record retention.
  • Scan and index documents, including but not limited to grade rosters, changes of grades and academic transcripts.
  • Assist office members with special projects, general office workflow and data maintenance.
  • Maintain consistent and reliable attendance.
  • Query and update student education records in Banner, including demographic information, registration and academic history.
  • Maintain knowledge of Banner, Self-Service Banner, FALCON Link, Dynamic Forms and Degree Works to help field questions from students, faculty and parents.
Qualifications

Essential: Personable, friendly and professional attitude and appearance; detail-oriented and organized; working knowledge of basic computer skills (e.g., MS Word and Excel) and willingness to learn other programs; ability to alphabetize, file and record information accurately; answer phones and appropriately handle visitors with questions; maintain confidentiality of student information in accordance with University policy and legal requirements (e.g., Family Educational Rights and Privacy Act).

Preferred: Previous experience working in a professional office environment.

Dress Code

Dress and shoes should be clean, neat and appropriate for a professional office setting.

Special Working Conditions

Preferred ability to lift approximately 25 pounds; candidates willing to work full-time hours (Monday through Friday, 8:00 a.m. to 5:00 p.m.) over the summer months are preferred.
