Office Assistant Position in Norfolk, Virginia
1st Choice is currently seeking an Office Assistant for our client in Norfolk, Virginia. The Office Assistant will provide administrative support for the Center for Orientation, Retention, and Exploration. Responsibilities include managing schedules and organizing documents. The successful candidate should have good time management, flexibility, the ability to handle multiple tasks, and excellent communication and telephone skills.
Job Duties
- Become and remain knowledgeable of New to Blue, Major Exploration, and Exploratory Advising, Success Coaching, and Success Teams.
- Demonstrate professionalism, positivity, and customer service via phone and email to orientation participants (students and family members), staff, faculty, and campus visitors.
- Effectively troubleshoot orientation registration and change of major processes.
- Manage and monitor office printers, furniture, and other equipment.
- Use critical thinking to problem solve independently.
- Monitor and answer incoming calls, routing them to appropriate offices.
- Monitor and answer emails with correct information.
- Check-in students for academic advising and success coaching appointments.
- Schedule and reschedule academic advising and success coaching appointments.
- Provide assistance to the Office Manager.
- Serve as the first point of contact to students, faculty, staff, and the general public, acting as receptionist for the Center.
- Provide information to students and the public on university and Center building locations, activities, programs, and policies.
- Maintain office files and inventory for departmental records management.
- Assist with the supervision of student workers.
- Maintain schedules and bookings for orientation registrations, conference rooms, and professional staff.
- Account for and distribute incoming and outgoing mail.
- Perform other duties as assigned.
Basic Qualifications
- High School Diploma required.
- Experience in office management or administrative support role.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong interpersonal and communication skills, with the ability to interact effectively at all levels.
- Proficiency in Microsoft Office suite and other relevant software applications.
- Ability to maintain confidentiality and handle sensitive information with discretion.
