What you will do

We’re a climate impact consultancy that has grown, since our inception in 2020, ClimatePartner UK has doubled to a team of 30. We are a passionate, social and impact-focused team that work with clients to help make net zero a reality through measurement, reductions, and climate project contributions.
In this role, you’ll play a vital part in streamlining finance processes and keeping our office culture thriving. Office responsibilities
- Liaise with the office provider for facility management, including health and safety regulations.
- Support onboarding by setting up laptops and IT equipment for new joiners.
- Assist with visa and recruitment processes, including coordinating interviews and follow-ups
- Ensure employees have the necessary equipment and office environment to operate efficiently.
- Manage attendance and desk/meeting room booking systems.
- Foster a positive and collaborative office culture by coordinating team events, workshops, and offsites, including venue booking, catering, and logistics.
- Mark key cultural dates and events to drive team engagement through speaker coordination and internal event management.
- Implement and promote eco-friendly practices within the office and support the preparation of our carbon footprint report.
- Manage the visitor registration process to ensure a welcoming experience for guests.
- Maintain inventory and compliance across IT, data protection policies, and employee guidelines.
- Assist with basic IT troubleshooting and liaise with global IT support for complex issues.
- Handle broader office administration, including post, office stationery, fresh fruit, and technology
Finance responsibilities
- Oversee credit control tasks and processes to ensure timely payment of invoices.
- Manage accounts payable tasks to ensure timely approval and payment of vendor invoices and staff expenses.
- Collaborate with the global finance team and external tax advisors on quarterly tax filings and financial statements.
- Coordinate with auditors during internal and external audits, providing necessary documentation.
- Track the social budget and assist employees with expense submissions for accurate processing.
Who you are
Requirements:
- Minimum of three years' experience in an administrative role.
- Exceptional organisational skills, with the ability to prioritise and manage multiple tasks efficiently.
- Proactive and self-motivated, capable of identifying and addressing issues independently.
- Strong attention to detail, ensuring accuracy in financial and administrative tasks.
- Strong interpersonal skills with the ability to build and maintain positive relationships with team members.
- Good verbal and written communication skills, effective in liaising with internal stakeholders.
- Ability to thrive in a fast-paced environment and manage changing priorities effectively.
- Proficiency in using financial software (e.g., Xero) and office management tools (e.g., Microsoft Office Suite, Dynamics).
Desired, but not essential:
- Experience in a finance administrative capacity.
- Experience in coordinating team events, workshops, and offsites.
