Job Title: Office and Facilities Manager

Reports to: Head of Compliance & Central Support

Location: Derby (travel between offices required; hybrid working available)

Hours: Full-time, 37.5 hours per week (Monday to Friday)

Role Overview:

We are seeking an experienced and proactive Office and Facilities Manager to oversee the day-to-day running of multiple office sites, ensuring safe, efficient, and well-maintained work environments. You will manage the admin and reception teams, handle supplier contracts, oversee building maintenance, and ensure full compliance with health & safety legislation. This is a hands-on role with a strong focus on people, operations, and service delivery.

Key Responsibilities:
  1. Line manage administration and reception teams across sites
  2. Oversee office procedures, team meetings, and performance monitoring
  3. Manage maintenance, repairs, security, and cleaning services
  4. Monitor facilities budgets and supplier contracts
  5. Lead office moves and refurbishments
  6. Ensure compliance with H&S legislation, risk assessments, and training
  7. Conduct safety audits, drills, and staff inductions
  8. Monitor safeguarding/incident data and report trends
  9. Maintain office equipment, supplies, and IT/telecoms inventory
  10. Provide occasional out-of-hours on-call support for site security

  • Experience in office/facilities management, ideally across multiple sites
  • Strong understanding of health & safety and compliance standards
  • Proven leadership and team management skills
  • Confident managing budgets, suppliers, and facilities projects
  • Excellent communication, organisational, and problem-solving skills
  • Hands-on, proactive approach with flexibility to travel as needed
