    The Montefiore Endowment aims to promote higher Torah learning for future rabbis, teachers and lay leaders of the ‘orthodox’ Jewish community as well as teaching the values of tolerance, social harmony and mutual understanding for wide public benefit in accordance with the teachings of the Torah and as demonstrated by Sir Moses Montefiore.

    MAIN DUTIES AND RESPONSIBILITIES

    Job Summary

    We are seeking a highly organised and proactive Administrator to manage day-to-day operations and support various administrative tasks. The ideal candidate will have excellent communication skills and the ability to multitask effectively while managing various responsibilities, financial administration, and coordination of operations for our organisation.

    Duties and Responsibilities

    Communication and Coordination

    • Handle daily emails, phone calls, and messages with professionalism and efficiency.
    • Liaise with tenants, estate agents, and contractors regarding property-related matters.
    • Maintain regular communication with the site manager to address ongoing maintenance and operational needs.

    Administrative Support

    • Oversee all administrative responsibilities related to the Gap Year programme, including communication with institutions and applicants.
    • Prepare essential paperwork for quarterly board meetings, ensuring all documentation is accurate and organised.
    • Attend board meetings, take comprehensive minutes, and distribute them to relevant Trustees
    • Handle invoicing and assist with financial tasks, ensuring timely payments and accurate record-keeping.
    • Ensure that expenses for visiting teachers and consultants are appropriate, documented, and processed on time.

    Reporting and Compliance

    • Ensure completion of regular reports and certificates, including insurance documentation, electrical inspections, fire safety checks, and annual risk assessments.
    • Maintain an updated list of grants and payments to track funding and financial commitments.

    Documentation and Record Keeping

    • Create and maintain comprehensive records of all administrative tasks and communications.
    • Ensure that all administrative processes meet organisational standards and are conducted efficiently.

    Working Conditions

    • Part-time position, with regular office hours.

    • Proven experience in providing administrative and process support.
    • Highly organised and detail oriented.
    • Excellent written and verbal communication skills.
    • Strong ability to manage multiple priorities and ensure timely delivery.
    • Collaborative team player, proactive, and able to work effectively in a small team environment.
    • High level of integrity and commitment to maintaining confidentiality.
    • Good knowledge of office management and administrative practices
    • Proficient in MS Office Suite (Word, Excel, Outlook).
    • Self-motivated, flexible, enthusiastic, and capable of multi-tasking with a positive attitude.
