Job Description:

The primary purpose of this role is to provide administration support to the Secretarial team as well as the wider business.

Key Responsibilities
  • Opening office each morning and screening night service messages
  • Checking, logging, and distributing incoming ships mail items
  • Processing outgoing courier shipment requests and preparing associated paperwork
  • Processing ships mail dispatches and courier requirements
  • Circulating weekly ships mail dispatch lists
  • Monitoring stock and ordering FedEx packaging
  • Managing switchboard and forwarding calls to relevant departments
  • Providing reception services for checking in guests and clients
  • Processing visitor Wi-Fi password requests
  • Handling catering and transportation requests
  • Updating catering schedules and distributing updates to the catering team
  • Updating EL-VIS system with upcoming office visits
  • Providing front desk and switchboard cover when required
  • Supporting process mapping of facilities processes
  • Assisting with other admin tasks like ordering food and raising purchase requisitions
  • Supporting the Facility Manager with additional admin tasks
Candidate Requirements
