The primary purpose of this role is to provide administration support to the Secretarial team as well as the wider business.

Key Responsibilities:
  • Opening office each morning and screening night service messages
  • Checking, logging, and distributing incoming ships' mail items
  • Processing outgoing courier shipment requests and preparing associated paperwork
  • Processing ships' mail dispatches and courier requirements
  • Circulating weekly ships' mail dispatch lists
  • Monitoring stock and ordering FedEx packaging
  • Administering switchboard calls and forwarding to relevant departments
  • Providing reception for checking in guests and clients
  • Processing requests for visitor Wi-Fi passwords
  • Handling catering and transportation requests
  • Updating catering schedules and distributing updates to the catering team
  • Updating EL-VIS system with details of upcoming office visits
  • Providing front desk and switchboard coverage at Scotia House when required
  • Supporting process mapping of facilities processes
  • Assisting with other admin tasks such as ordering food and raising purchase requisitions
  • Supporting the Facility Manager with additional admin tasks
