Job description

KISPE is a programme engineering, systems engineering, design and integration and training company, which builds on over 25 years of experience in the space system, telecommunications and electronics sectors. We are a small, fun, hard-working team, based in Farnborough, Hampshire, with a passion for what we do.

Our busy, client-focused office needs a reliable, well-organised, detail orientated Office Administrator and Executive Assistant to support day-to-day operations and maintaining and delivering accurate and timely financial and project information.

As the Office Administrator and Executive Assistant, you will be responsible for overseeing the administrative activities that facilitate the smooth running of the office, organising, information and other resources and supporting the Chief Executive Officer and Financial Director.

We are looking for an energetic person who enjoys wearing multiple hats.This position offers advancement and development opportunities for the right candidate.

Responsibilities and duties:

  • Provide administrative, scheduling and operational support to the Chief Executive and other members of the company management team.
  • Expenses, purchasing and inventory management – both within projects and as part of the day-to-day management of the office.
  • Timesheet management.
  • Customer invoicing.
  • Customer, supplier and landlord engagement.
  • Travel administration: Coordinating flights, hotels, car hire, trains, taxis and any necessary paperwork.
  • Managing the coordination of meetings, visitors and associated hospitality.
  • Responsible for the upkeep and maintenance of office supplies and equipment
  • Support the recruitment of new staff: logging CVs, ensuring CVs are reviewed, coordinating interviews, support the generation of new hire paperwork and sending emails to all candidates.
  • Responding to customer enquiries and complaints.
  • Managing external inboxes, responding or forwarding to the correct team if required.

A formal qualification is not a requirement, but the candidate will need to show proactiveness and a desire to develop in the role and the Space Industry.

  • Knowledge of Microsoft Office Suite (Word, PowerPoint, Excel) and other commonly used office packages, with strong IT and typing skills
  • An interest in general business, including HR and basic budgeting/finance

On-site full time role, in Farnborough. Salary will be based on experience.
