Permanent, Full Time - 9am-5pm

Our client, a highly established and reputable trade association with 250+ members representing 95% of all UK sales of paints, coatings, printing inks, and wallcoverings, is seeking an Office Administrator to join their team.

Duties and Responsibilities of Office Administrator

  • Act as a point of contact for membership inquiries.
  • Provide membership-related advice and administrative support to members, applicants, and customers.
  • Maintain accurate records of members on the CRM system, ensuring compliance with data protection guidelines.
  • Distribute member communications, referencing and distributing information to technical committees, and upload information to the website.
  • Produce and distribute certificates, welcome, and renewal packs for members.
  • Cover the Technical and Membership Executive in their absence.
  • Support general administration tasks, including member communications and covering staff absences.
  • Manage member meetings via the CRM system and internal calendar, coordinate logistics, liaise with venues, and follow up with attendees.
  • Handle member and external meeting bookings, including hosting and liaising with the Technical & Membership Executive and Office Manager.
  • Greet visitors and members professionally.
  • Support catering orders for meetings and events.
  • Assist with general office administration and conference & awards support.
  • Attend some events, which may require overnight stays (expenses covered).

Person Specification

  • CRM system experience - Essential
  • Proficiency in IT and Microsoft Office - Essential
  • Minimum 3 years administrative experience - Essential
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Excellent organizational skills, able to work independently and in teams
  • Strong communication skills, both verbal and written
  • Outstanding attention to detail
  • Ability to process applications, organize documents, and track progress
  • Professional and courteous demeanor when interacting with applicants
  • Flexible team player, capable of working under pressure and tight deadlines
