What you’ll do

This is an excellent opportunity to join the HR Services team and to play a pivotal role in supporting the operational and strategic delivery of occupational health services across Southeastern.

Occupational health is central to our people strategy within HR Services and continues to evolve. This role supports the coordination and modernization of our occupational health provision, ensuring it remains effective and responsive.

You will need high-level administrative skills and responsibility for service coordination, supplier engagement, case tracking, and project delivery. You will support strategic initiatives, including supplier reimagination and health campaigns, working closely with internal stakeholders, OH providers, and the Health and Wellbeing Team to ensure a compliant and effective service.

Responsibilities include:

  1. Managing day-to-day coordination and administration of occupational health activities.
  2. Tracking and scheduling assessments, referrals, and outcomes, ensuring timely progression and escalation.
  3. Maintaining and auditing employee health records using systems like Medigold One, Oracle, and Netdocs, while ensuring GDPR compliance.
  4. Managing the Occupational Health inbox, triaging queries, and escalating as needed.
  5. Supporting the OH Team Manager in reviewing supplier performance, developing reports, and identifying service improvements.
  6. Collaborating with the Health and Wellbeing Manager on campaigns and initiatives.
  7. Producing reports and dashboards for decision-making and management updates.
  8. Developing trackers, audit tools, and workflows to improve data visibility.
  9. Deputizing for the OH Team Manager in meetings and forums.
  10. Identifying opportunities for process streamlining and digital automation.
  11. Coordinating with Payroll, HR, and Line Managers for case management.
  12. Organizing meetings, training, and reviews, maintaining records and action logs.

The experience you’ll need

To be considered, you should demonstrate:

  • Proven experience as a Coordinator
  • Excellent administrative skills
  • Experience with reporting and database systems
  • Familiarity with occupational health, healthcare, or HR (advantageous)
  • Strong organizational and time management skills
  • Attention to detail and accuracy in record keeping
  • IT proficiency, especially in Microsoft Office
  • Excellent communication skills
  • Ability to handle sensitive/confidential information
  • Proactive problem-solving and process improvement skills
