Overview

The Occupational Health Administrator plays a vital role in supporting the Occupational Health & Wellbeing service at University Hospitals of Morecambe Bay NHS Foundation Trust. This Band 3 position is responsible for delivering high-quality administrative and clerical support, ensuring the smooth operation of departmental processes and contributing positively to the team’s objectives.

Responsibilities
  • Act as the key point of contact for staff and clients, managing communications (face-to-face, telephone, and email) in a professional and confidential manner.
  • Book and manage appointments using the Occupational Health database, coordinate diaries, and ensure scheduling aligns with departmental targets.
  • Maintain accurate, up-to-date records with data integrity and confidentiality in line with GDPR and Trust policies.
  • Handle incoming and outgoing correspondence, prioritising and triaging communications to appropriate team members.
  • Carry out general office duties such as photocopying, scanning, and maintaining stationery supplies via the Trust’s procurement system.
  • Contribute to the upkeep of the department’s digital filing systems, including the Occupational Health OneDrive.
  • Provide cover during staff absences and undertake additional administrative tasks as required.
  • Attend mandatory training, participate in annual appraisals, and identify personal development needs to support continuous improvement and service quality.
Qualifications and Skills
  • Essential: strong organisational skills, attention to detail, and ability to work independently with minimal supervision.
  • Sound understanding of confidentiality, data protection, and NHS systems.
  • Proficiency in Microsoft Office applications.
  • Desirable: experience in a healthcare setting and familiarity with Occupational Health services.
  • Excellent communication skills, proactive problem-solving, and a commitment to personal and professional development.
About the Department and Locations

We operate from three main hospitals: Furness General Hospital (FGH) in Barrow, the Royal Lancaster Infirmary (RLI), and Westmorland General Hospital (WGH) in Kendal, as well as several community premises including Millom Hospital and GP Practice, Queen Victoria Hospital in Morecambe, and Ulverston Community Health Centre. All three hospitals provide a range of planned care, diagnostics, therapies, and outpatient services, with local outreach and additional services from community facilities across Morecambe Bay.
