Lightsource bp is seeking a Field Service/ Ground Maintenance Admin Support to assist the Ground Maintenance department with administrative tasks across the UK. You will engage with remote field teams, manage field jobs, quotations, and purchase orders, and help ensure timely, safe completion of works.

The role requires strong communication, multitasking ability, and proficiency with multiple internal systems.

Responsibilities

• Create and manage field jobs, quotations, and purchase orders via calls, emails, and messaging systems.
• Assist safe delivery of planned and reactive grounds maintenance activities across UK regions.
• Delegate tasks to team members and ensure materials are available for tasks.
• Book and track staff training, hotel bookings, and project timeframes; monitor tasks from start to finish in internal systems.
• Aim for zero missing reports; chase field reports for closure.
• Monitor weekly KPI progress and update management communications.
• Assist with fleet management, vehicle servicing, haulage, and movement of large machinery across the UK.
• Assist and dispatch deliveries for the team; book external training for the department.

Purpose of the role

Assistance in administrative tasks for the Ground Maintenance department. Supporting the efforts of a variety of projects undertaken by internal and external personnel; ensuring all works are completed in a timely, professional, and safe manner.

Duties and responsibilities

• Effective communication and engagement with the remote field team at all times, including creation of field jobs, quotations, purchase orders etc. via team calls, emails and messaging systems.
• Assisting the safe delivery of planned and reactive grounds maintenance activities across multiple UK regions.
• Delegating of tasks to appropriate team members, ensuring they have all required materials for the task.
• Booking and tracking of personnel training, hotel bookings and project timeframes. Tracking all tasks from start to completion, managing our internal computer systems as tasks progress.
• Assisting with the target of zero missing reports for the department on a weekly basis, chasing down the field report for closure if necessary.
• Monitor and modify weekly team update presentation. Taking minutes and actioning where required.
• Monitoring weekly progress of departmental KPI’s – updating matrix ahead of management communications.
• Assistance with ground maintenance fleet management, tracking vehicle servicing, haulage and movement of large-scale agricultural machinery around the UK.
• Assisting and dispatching of deliveries for the team.
• Booking in and tracking of external training for the department.

• Good written and verbal communication skills.

• Computer literate, with previous experience working on multiple systems.
