Job Description

Main responsibilities

Duties

  1. Ensure all guests are attended to promptly and efficiently in a professional manner without delay.
  2. Update details of regular guests using Guest History.
  3. Action all diary events, flags, and specials.
  4. Pass on all guest mail, messages, and parcels promptly.
  5. Liaise with Housekeeping regarding rooms and lost property.
  6. Be fully aware of the daily worksheet and ensure it is used.
  7. Complete guest registration forms correctly and update the computer system accordingly.
  8. Ensure all account postings are accurate and necessary paperwork is produced.
  9. Perform an accurate cashiering balance at the end of shifts.
  10. Maintain security procedures according to policy.
  11. Complete Express Check out envelopes.
  12. Maintain and operate security boxes within security procedures.
  13. Report any safety hazards.
  14. Handle complaints promptly and efficiently.
  15. Attend and participate in meetings and training sessions.
  16. Perform any other duties requested by the Night Manager.
  17. Provide a correct welcome to all callers and guests.
  18. Assist with guest valet parking if required.
  19. Complete all audit tasks as per the Night Auditors checklist.
  20. Answer incoming calls promptly.
  21. Distribute reports.
  22. Handle all cash and credit transactions with related paperwork.
  23. Assist staff inquiries and seek help if needed.
  24. Process wake-up calls.
  25. Pass on shift handover information.
  26. Report failures or inconsistencies noticed during shift to the Night Manager.
  27. Demonstrate competency in all duties as required.
  28. Follow property procedures regarding grooming, conduct, health and safety, emergency procedures, and policies.
  29. Perform other duties within your competence as required.
  30. Ensure the safety and security of the property and the smooth running of the hotel's overnight operation.
  31. Conduct night security rounds.

Talent & Culture Responsibilities

Assist the Management Team by:

  1. Establishing ongoing On-Job Training Programs using Department Procedure Manuals.
  2. Inducting new staff into the team and hotel following guidelines.
  3. Communicating regularly with staff through briefings and information sharing.

Health & Safety

  1. Notify your Manager if you are unable to perform tasks safely.
  2. Participate in workplace health and safety consultations.
  3. Follow safe work practices and hotel policies on health, safety, and environment.
  4. Keep equipment in good working order and report hazards or incidents promptly.
  5. Participate in risk assessments and hotel rehabilitation programs.
  6. Maintain hygiene standards for food handling and presentation.
  7. Be familiar with fire and evacuation procedures.
  8. Ensure the security of people and property, including regular security rounds and reporting issues.

Security

  1. Have full knowledge of all hotel areas and emergency procedures.
  2. Visit F & B outlets, gym, and garage upon arrival.
  3. Patrol hotel areas regularly and report hazards or maintenance issues.
  4. Manage linen room security and other security procedures.

Room Service

  1. Accurately take and deliver orders.
  2. Ensure food safety and timely service.
  3. Keep kitchen tidy.

Systems & Procedures

  1. Report system problems and suggest improvements.
  2. Follow policies and procedures outlined in manuals and standards.
  3. Complete all duties with proper handover documentation.

Customer Relations

  1. Provide friendly, efficient, and professional service.
  2. Lead by example and strive for total customer satisfaction.
  3. Proactively promote hotel facilities and promotions.
  4. Adopt the company's values and customer service vision.

Other

  1. Complete tasks accurately and on time.
  2. Participate in training and meetings.
  3. Abide by policies on EEO and harassment.
  4. Maintain confidentiality of hotel and staff information.
  5. Perform other reasonable duties as required.
  6. Be monitored and recorded as part of quality assurance.

Hygiene / Personal Safety / Environment

  1. Keep the workplace clean and tidy.
  2. Follow security regulations and ensure safety of all persons and property.
  3. Respect environmental commitments such as energy saving and waste recycling.
