NHS Talking Therapies Administrator - Maternity Cover

Vita Health Group and With You have a clinical partnership, bringing together over 40 years of mental health experience, to support individuals and communities across Kent and Medway.

We are looking for pioneering, skilled clinicians & administrators to join us on this exciting journey and play a central role in shaping the delivery of NHS Talking Therapies for anxiety and depression across the region.

This part-time maternity cover position is an integral part of the service and will ensure the smooth running of the NHS Talking Therapies contract. This is achieved by providing an effective and efficient administrative service for NHS patients, referring GPs, healthcare professionals, and ICB contacts.

The role is varied and covers a range of administrative responsibilities that support the day-to-day operations of the service, as well as contributing to its ongoing development.

Main duties of the job

This is an excellent opportunity to build on your administration and customer service skills in a busy, fast-paced organization.

You should have good experience of dealing with the public and be a confident communicator both on the telephone and over email. You will possess excellent attention to detail, be quick to learn new systems, and eager to develop your career as part of a close-knit, flexible, and supportive team.

The role would be based 1 day in an office and 2 days working from home (days in office to be confirmed). You would be working shifts including 1 late shift from 12 pm to 8 pm. The service operates from 8 am to 8 pm Monday-Thursday and 8 am to 5 pm on Fridays. The role will be based at our Faversham Office.

  • Answering incoming calls and making outbound calls professionally within KPIs.
  • Processing referrals within targeted timeframes.
  • Updating patient information accurately within the record system.
  • Monitoring and managing treatment waitlists.
  • Responding to email enquiries promptly.
  • Checking and processing correspondence to patients, GPs, and healthcare professionals.
  • Communicating promptly with patients regarding appointment changes, cancellations, and reschedules.
  • Providing general administrative support and other duties to ensure the smooth running of the service.
