Neurodiversity Receptionist/ Administrator

BHFT is looking for an experienced administrator/receptionist to work in our Specialist services team based at our clinic at 25 Erleigh Road, Reading. Must be flexible, love working in a busy clinic and able to juggle competing priorities.

The role is administration within Specialist Services, working in the Adult ADHD service across the ADHD Diagnostic and Medication pathways.The role is part time - 4 days a week. Non negotiable working days are Thu and Fri reception .

Main duties of the job

Reception Thu and Fri

Welcome all visitors to the site and announce them to the relevant services

Take all external and internal calls

Maintain good relationships with clients, staff and other agencies

Organise and maintain room bookings, maximising the utilisation of space

Organise all outgoing mail, ensuring that it is franked and bagged ready for posting and to sort and distribute incoming mail

Report any faults with equipment, systems and/or maintenance issues to the appropriate service/agency

Assist in the efficient and accurate recording of data in all electronic systems

Create access packs for new staff members

To cover reception as and when required eg lunch cover, sickness or leave cover

processing referrals

opting clients into the service

sending out correspondence to clients and GPs

contacting clients to book appointments

recording all interactions using BHFT patient record systems

any other administrative tasks as directed by the business support manager

To support projects and ad-hoc work requirements by undertaking a variety of administration and clerical tasks

  • Basic level of healthcare administration knowledge

  • Previous knowledge and experience of working in an office and/or customer care environment
  • Knowledge and experience of software programmes/packages and a full range of administrative functions and duties (including taking minutes and noting actions)

  • Good interpersonal, communication, observation, and reporting skills
