Executive Assistant & Team Coordinator

NERA is a global organisation with over 500 professional economists based in more than 20 offices. Part of Marsh McLennan, NERA offers the infrastructure and benefits of a large corporation while retaining the culture of a smaller firm.

NERA London currently has a team of 5 Administrative Assistants supporting around 80 consultants across different business lines. We are looking for an experienced EA to support two partners and manage the administrative team in collaboration with Senior Managers.

The successful candidate will be expected to work both independently on some tasks as well as effectively within the existing administrative team and to also collaboratively support the wider office delivery.

Responsibilities

Responsibilities will include:

  1. Providing high-level, proactive administrative support to two Senior Directors in the London office
  2. Proactive diary management
  3. Proactive administration in connection with legal documents throughout the lifecycle of a project, including but not limited to:
  4. Letters of Agreement/Consulting Services Agreements, release letters, reliance letters, NDAs, subcontracts, novation letters. Includes populating contracts and subcontracts on the director's behalf and managing firewall agreements throughout the duration of the project.
  5. Supporting on Business Development efforts
  6. Handling travel arrangements and making visa applications
  7. Proactively supporting accurate expense reports in a timely manner
  8. Coordinating on and providing materials in connection with proposal submissions
  9. Remaining on top of invoicing for projects with a variety of invoicing structures
  10. Dealing with highly confidential matters on behalf of Senior Staff on a regular basis

Managing Administrative Team

Managing administrative team members in collaboration with Senior Management:

  1. Gaining an understanding of where knowledge is centred and how to access it - first point of contact for administrative assistants
  2. Managing workload of team to ensure balance
  3. Support to the administrative team with overflow tasks, as required

We are looking for candidates who have at least 5 years of EA/Administrative Management experience in professional services settings. Training for all in-house systems and processes will be provided. We are looking for someone who is professional, personable and diligent: the right candidate will have great attention to detail, an innate proactive work ethic and the ability to work effectively with multiple competing deadlines. Confidence working with Microsoft Office is essential. This role requires someone who is willing and able to be present in the office five days a week.
